Position Description: SUMMARY

A Payment Operations Specialist is a key member of a company's Operational team, responsible for ensuring smooth and secure payment processes. This role is critical in protecting both the company and its members from fraud while efficiently proving support to payment operations. Payment Operations Specialist will collaborate closely with all the departments that process or reconciles payments via various electronic channels.

This position plays a vital role in maintaining the integrity of a company's payment systems, handling tasks ranging from new member onboarding to the payment systems and dispute resolution.

As liaison between the Credit Union and the Member Support Services (MSS) team. Responsible for managing department workflow and activities such as plastic card inventory, handling of special deposit accounts, member research, etc. Assists in the Support Services area by performing the following duties:

Knowledge, Skills and Abilities Required:

  • A Payment Operations Specialist's primary focus is on managing and optimizing payment processes. This includes conducting researches for members, investigating and resolving payment disputes, and identifying potential fraudulent activities.
  • This position will spend significant portion of their time performing member onboarding to the company's billing platform including Zelle, Mobile Banking and supporting Business Members with RDC. Looking at daily reports to make sure there are no posting issues in member accounts. They will work directly with the CUSO to make sure chargebacks and other payment disputes are processed quickly and efficiently.
  • Additionally, they play a crucial role in fraud prevention by screening high-risk payments and investigating suspicious activities.
  • Assists MSS with handling of member decedent accounts. Processes all requests for death claims. Knows and adheres to credit union security policies and procedures and dedicates time and effort to become informed about changes and makes appropriate updates to these policies and procedures.
  • Sets up new IRA and IRA CD accounts, processes distributions, and approves necessary documentation for the establishment of the accounts.
  • Responds to member inquiries and resolves issues regarding Home Banking, Bill Payer, Zelle and Credit Card payments and balance transfers.
  • Handles all inquiries and disbursements relating to levies, writs and child support requests. Responds to all subpoena requests. Authorizes release of funds when required.
  • Processes consumer and business mail deposits and payments. Conducts account and loan research for members. Processes fee and loan payment reversals. Sets up payroll distributions for loan and retail products. Assists with processing Skip-a-Pay requests.
  • Researches and resolves members' inquiries regarding loan and retail accounts. Calculates interest, penalties, and loan payments for members. Reviews applications received by mail for completeness and gathers the necessary documentation before forwarding credit card applications to the Loan Department for processing.
  • Adheres to the credit union’s records retention policy and procedures guidelines to effectively maintain record and to ensure full compliance with all applicable laws and appropriate regulatory agencies.
  • Assists other departments by handling and resolving complex member and business account transactions. May be required to answer complex calls or override transaction if deemed necessary.
  • Handles all support calls from MSS. Answers and responds to internal support calls from the branches and other departments.
  • Maintains confidentiality in all matters pertaining to members' business and information. Communicates clearly and concisely at all times. Returns all telephone calls and mail correspondence in a timely manner. Identifies problems, secures relevant information to determine the possible cause of problems and discusses complex issues with the Branch Manager to determine a sound and effective decision.
  • Manages plastic card inventory, including ordering, replacement of lost and stolen cards, restricting usage, issuing additional cards, and processing claims related to illegal card usage by members of others.
  • Acts as backup scanning function of all loan files, signature cards, business account cards, and miscellaneous items such as bankruptcy notices, subordinations, mortgages, etc.
  • Understands all BSA requirements. Participates in BSA and other required regulatory and credit union training programs; and receives a passing grade on all required tests.
  • Knows and adheres to credit union security policies and procedures and dedicates time and effort to become informed about changes to these policies and procedures.
  • Manages special projects that may be assigned by department manager and performs additional duties as might be assigned from time to time.

Qualifications/Requirements:

  • High school diploma or general education degree (GED); or two to four years related experience and/or training; or equivalent combination of education and experience.

This individual must be available for scheduling during Credit Union operating hours. Staffing assignments are periodically adjusted to meet business needs. This position could be transferred to another office in the same geographic region at any time.
