Job Title: Benefits Associate
Location: Minot, ND (corporate headquarters)
FLSA Status: Non-exempt, hourly

Job Summary Responsible for the administration of all benefits and retirement programs. Serves as the main point of contact for all benefits internally and externally.
Expectations: Expected to understand employment laws related to benefits and leave of absences. Self-motivated, organized, extremely detail-oriented, and an effective communicator. Understands and adheres to the highly confidential nature of all information within human resources. Must be highly efficient at multi-tasking, prioritizing duties, and meeting deadlines. Requires little supervision once trained.
Essential Duties -
- Responds to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes and other general inquiries.
- Distributes all benefits enrollment materials and determines eligibility.
- Enrolls employees with benefit carriers and processes life status changes.
- Assists employees with benefits claims.
- Owns the annual open enrollment process – creating presentations, holding meetings, answering questions regarding benefits
- Conducts benefits new hire orientation and onboarding.
- Updates benefit databases with current employee information
- Works closely with payroll to ensure accurate benefit deductions in the HRIS.
- Codes monthly benefits invoices for accounting
- Works with payroll to reconcile monthly benefit invoices
- Processes and administers all leave-of-absence requests and disability paperwork: medical, personal, disability and FMLA.
- Effectively interprets FMLA and ADA implications as they relate to leaves of absences/disabilities.
- Processes required paperwork for FMLA, ADA, Disability claims, Workers Comp and return to work.
- Works closely with the HSE department to handle worker’s comp claims and return to work restrictions.
- Responds to 401(k) inquiries from managers and employees relating to enrollments, plan changes and contribution amounts. Manages the annual catch-up contribution enrollment.
- Processes 401k withdrawal requests and forms
- Works with benefit broker to prepare and review annual renewal documentation and complete renewals with all benefits providers.
- Prepares employee separation notices for benefits, termination letters, and related documentation
- Works with third-party administrator to ensure compliance with COBRA
- Assist with creating HRIS instruction documents for enrolling in and changing benefits
- May assist recruiting with the pre-employment document process (background checks, schedules drug tests)
- Work well independently and as a team
- Provides excellent customer service
Qualifications
Education/Experience: Associate's degree preferred. 1 year of benefits experience required.
Certifications/Licenses: None required.
Driving Requirements: Valid driver’s license. Travel expected to company locations to hold benefit meetings.
Physical Requirements – Must be able to talk and hear. Requires close visual acuity to prepare and analyze data and figures and view a computer screen. Reach, lift and carry up to 10 pounds occasionally. The position is mostly sedentary, involving sitting most of the time. Occasionally required to stand and walk.
Work Environment – Indoor office setting. Noise level is typically quiet.
Financial Skills – Understands the financial implications of business decisions.
Communication Skills – Highly effective written and oral communication skills as well as providing excellent customer service. Understands audience and adjusts communication style appropriately. Must be able to independently hold group benefit meetings and effectively explain plan details.
Language Skills: Ability to read, interpret and understand documents such as benefit plan documents, employment laws, policies and procedures. English language fluency in reading, writing and speaking. Bi-lingual beneficial.
Cognitive Skills: Ability to concentrate and focus on numbers and details for long periods of time. Demonstrates critical thinking, problem-solving, logic, and reasoning. Requires high emotional intelligence to effectively recognize and respond to emotions.
Computer Skills – Efficiently navigate a web browser, mobile applications, Microsoft Office Suite (Excel, Teams, Word, SharePoint, etc.). Must be able to design professional presentations and write professional documents. Experience with HRIS highly preferred.
Work Ethic – Be trustworthy, dependable, respectful, and truthful with a commitment to safety and excellent customer service. Follow company policies and procedures and take responsibility for your own actions. Requires the highest degree of ethics in maintaining the confidentiality of all information in the HR department.
