What are the responsibilities and job description for the Oral Surgery Patient Care Concierge/Receptionist position at Creekside Oral Surgery?
Creekside Oral Surgery and Dental Implants is a start-up state-of-the-art practice in Johns Creek. We provide a wide array of Oral Surgical procedures for patients in Johns Creek and the surrounding communities.
We are currently seeking a detail-oriented and friendly receptionist to assist us with our daily administrative tasks. Must have Oral Surgery or other surgical specialty office experience.
Duties include:
- Greet patients warmly and professionally as they arrive at the office.
- Assist patients with check-in/check-out processes.
- Answer phone calls and emails promptly and respond to patient inquiries with accurate information.
- Manage the appointment calendar, scheduling patient visits efficiently to optimize the surgeon’s time.
- Confirm upcoming appointments and follow up on missed appointments.
- Coordinate with clinical staff to ensure timely patient flow.
- Assist patients with understanding their insurance benefits and financial responsibilities.
- Accurately enter patient information into practice management software.
- Ensure patients are registered and all pertinent information (ie. referral and x-rays) is available in the patient's chart to ensure a smooth intake process
- Ensure compliance with HIPAA and other regulatory requirements in managing patient information
- Prepare consent forms and referral letters.
- Manage office supplies and ensure the front desk area is well-stocked and tidy.
- Assist with administrative tasks such as photocopying, scanning, and faxing documents.
- Liaise between patients, clinical staff, and external providers to coordinate patient care.
- Communicate effectively with the surgical team to relay important patient information and updates
- Collect patient payments at the time of service and provide receipts.
- Balance daily transactions and prepare financial reports as required
- Maintain positive relationships with referring dentists and other healthcare providers.
- Address patient concerns and complaints promptly and courteously.
- Resolve scheduling conflicts and ensure patients are accommodated appropriately.
- Troubleshoot minor technical issues with office equipment and software.
- Participate in staff meetings and training sessions to stay updated on office policies and procedures.
- Provide feedback on office operations and suggest improvements for efficiency and patient satisfaction
QUALIFICATIONS:
- High school diploma or equivalent required; associate's or bachelor's degree in healthcare administration or related field preferred.
- Minimum of 2 years of experience in a medical or dental office setting.
- Previous experience in an oral surgery or specialty practice is highly desirable.
- Excellent verbal and written communication skills.
- Exceptional customer service skills with a friendly and approachable demeanor.
- Ability to handle difficult situations with tact and empathy.
- Strong problem-solving skills and the ability to resolve patient concerns effectively.
- Strong organizational and multitasking abilities.
- Proficiency with electronic health records and dental practice management software.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

- Attention to detail and accuracy in data entry and patient information management
- Ability to manage scheduling, patient check-in/check-out, and phone triage efficiently.
- Experience in handling billing inquiries.
- Knowledge of HIPAA regulations and ability to ensure compliance.
