The HVAC Purchasing Specialist is responsible for sourcing, procuring, and managing HVAC-related materials, equipment, and supplies. This role ensures that all purchasing activities align with company needs, vendor relationships are maintained, and procurement processes are efficient and cost-effective. The specialist collaborates closely with internal teams, including sales, operations, and warehouse personnel, to ensure the timely delivery of high-quality HVAC products while adhering to budgetary and regulatory requirements.
Key Responsibilities:
Vendor & Supplier Management:
- Identify, evaluate, and establish relationships with HVAC suppliers and manufacturers to ensure reliable and cost-effective procurement of materials.
- Negotiate pricing, contracts, and terms with vendors to secure the best deals while maintaining product quality and delivery efficiency.
- Monitor supplier performance, ensuring compliance with agreed-upon terms, and resolve any issues related to quality, delays, or pricing discrepancies.
- Research new and alternative suppliers to optimize cost and availability of HVAC components.
Procurement & Inventory Management:
- Generate and manage purchase orders for HVAC equipment, components, and materials based on company and project needs.
- Verify incoming shipments against purchase orders and invoices, ensuring accuracy in quantities and product specifications.
- Work closely with warehouse and logistics teams to track inventory levels and maintain optimal stock levels to prevent shortages or excesses.
- Resolve any discrepancies in received shipments, including damaged or incorrect items, by coordinating with vendors and internal teams.
- Maintain accurate procurement records, including purchase orders, invoices, receipts, and supplier agreements.
Product & Industry Analysis:
- Assess HVAC products and vendors based on key criteria such as cost, quality, reliability, and sustainability.
- Stay informed on industry trends, including new HVAC technologies, market pricing fluctuations, and regulatory changes that impact procurement.
- Evaluate the lifecycle costs of HVAC materials and equipment to make informed purchasing decisions that align with company goals.
Operational Coordination:
- Collaborate with internal departments, including sales, service, and project managers, to ensure procurement aligns with business needs and customer expectations.
- Work with the shipping and logistics teams to coordinate timely deliveries, avoiding project delays.
- Assist in developing and implementing cost-saving strategies for procurement without compromising quality.
Compliance & Reporting:
- Ensure all purchasing activities adhere to company policies, safety regulations, and industry compliance standards.
- Maintain thorough documentation for audits, compliance checks, and reporting requirements.
- Prepare detailed procurement reports on cost analysis, vendor performance, and inventory trends to support decision-making.
Qualifications & Skills:
- Strong knowledge of HVAC equipment, parts, and materials.
- Experience in procurement, supply chain management, or a related field.
- Excellent negotiation and communication skills.
- Proficiency in procurement software and inventory management systems.
- Strong analytical skills to evaluate product quality, supplier reliability, and cost efficiency.
- Ability to multitask and manage multiple vendor relationships and purchase orders simultaneously.
