General Description of Position:
Responsible for managing a busy front office, providing support to various departments, and excelling in great customer service for both internal and external contacts.
Office Support
- Be the first impression of our company and remain professional, courteous, and pleasant always.
- Ensure that telephone calls are answered, and voicemails forwarded or returned in a timely manner.
- Check fax machine throughout the day and distribute faxes as needed.
- Maintain office equipment areas making sure they are clean, organized and fully stocked with appropriate supplies. Assist coworkers with machines and supplies as needed.
- Always keep blank copies of applications easily accessible for anyone.
- Track office supply & kitchen inventory for both offices, re-order as needed.
- Provide exceptional customer service to internal and external employees/vendors/visitors and customers.
Employee Support
- Employee of the Month and Year tracking.
- Provide support in organizing company events.
- In charge of all plaques, certificates, gift cards and/or prizes.
- Manage employee birthdays, anniversary, and bereavement cards.
- Maintain employee Power Point and Communication Boards.
Department Support
- Provide support to all staff as priorities allow including helping assist Supervisors and Engineers with special projects, organization, and personnel tasks.
- Assist the Human Resources Department as needed.
- Order business cards as needed.
Requirements:
- Associate degree in administrative assistant, human resources, or business administration (preferred)
- Or 2 years’ experience in a similar role
- Strong knowledge of excel, word, power point and other technical software.
- Ability to coordinate several projects in various stages at the same time.
- Positive attitude and team contribution mentality
Job Type: Full-time
