We are seeking a highly motivated Intake Specialist to join our growing team in a pivotal role that bridges potential clients with our legal expertise. As the first point of contact, you will play a crucial role in creating a welcoming and professional experience for prospective clients while efficiently managing leads and inquiries.

Reporting to the Intake Manager, you will be responsible for guiding prospects through the initial phases of engagement, ensuring each client feels valued and supported as they navigate the complexities of their legal needs.

What you'll do : Client Engagement :

Manage all incoming communications via phone, email, and messaging applications with professionalism and promptness.

Conduct initial screenings to determine potential clients' needs and fit with the firm's services.

Schedule consultations and ensure all relevant client information is accurately documented and communicated to the legal team.

Lead Management :

Track, categorize, and manage all client interactions within the firm's CRM system.

Follow up with leads to ensure ongoing engagement and answer any questions.

Assist in sending out letters of representation and ensuring timely follow-up with clients.

Process Optimization

Support the Intake Manager in refining intake workflows to improve client satisfaction and operational efficiency.

Provide feedback on common client concerns to improve communication strategies.

What we're looking for :

Qualifications

Education : High school diploma or equivalent required; additional education in business, legal studies, or communication is a plus.

Experience : Previous experience in a client-facing role, preferably in a legal or professional services setting.

Skills

Communication : Excellent verbal and written communication skills, including the ability to interact effectively with clients and adjusters.

Strong interpersonal skills with the ability to build rapport with clients and team members.

Ability to multi-task and maintain attention to detail in a fast-paced environment.

Proficiency in Microsoft Office and familiarity with CRM systems.
