Job Description:
We are seeking a highly organized, professional, and proactive Executive Assistant / Assistant Property Manager to join our team. This individual will support the property management team while assisting in day-to-day operations. The ideal candidate will have a strong background in administrative tasks, property management, and the ability to work both independently and collaboratively.
Key Responsibilities:
- Coordinate and set up meetings for the property management team.
- Take tenant complaints over the phone and via email, providing excellent customer service.
- Issue purchase orders and track project expenses.
- Assist in compiling and creating special reports.
- Schedule appointments and coordinate with contractors and tenants for repairs or inspections.
- Set up and coordinate meetings with supers of buildings and outside contractors.
- Track and follow up on violations from HPD (Housing Preservation and Development), DOB (Department of Buildings), FDNY (Fire Department of New York).
- Set up lead testing in apartments (XRF and Lead swipe clearance) and follow up with HPD for exemptions.
- Follow up on required NYC compliance matters, such as window guard notices and other tenant safety protocols.
- Be familiar with property management software, such as MRI SiteCompli, SitePlan, or demonstrate the ability to quickly learn new platforms.
- Provide support in maintaining property management compliance and maintaining records of all tasks.
- Offer general administrative assistance to property management staff as needed.
Qualifications:
- 3-5 years of property management experience preferred.
- Experience in administrative roles, with an understanding of property management systems and compliance protocols.
- Proficiency in Microsoft Word and Excel.
- Ability to speak professionally and effectively with tenants, contractors, and management team members.
- Strong organizational skills with the ability to track multiple tasks and follow up on pending items.
- Ability to work independently and as part of a team.
- Detail-oriented and a proactive problem solver.
- Previous experience working at prior jobs for extended periods preferred.
