Job Overview:
We are seeking a highly motivated and technically savvy Staffing Systems and integrations
Manager to oversee the management and optimization of our Vendor Management Systems
(VMS) and Bullhorn platform. The main job duties will be managing Aya, HWL, Trio, Ringo, Bilflo
and LocumSmart systems, with a basic understanding of locum tenens recruitment. You will
play a key role in ensuring the seamless operation and accuracy of VMS, staffing management
systems, and related software tools.
In addition to VMS management, you will be responsible for managing and optimizing the
Bullhorn CRM/ATS, ensuring that all data entry is accurate, up-to-date, and efficiently
processed. The ideal candidate should be detail-oriented, organized, and possess excellent
technical troubleshooting skills. Speed and accuracy are essential, as the role requires fast
typing and multitasking in a dynamic environment.
Key Responsibilities:
VMS Management:
Oversee daily operations and management of VMS platforms including Aya,
HWL, Trio, Ringo, and LocumSmart.
Ensure seamless integration between various VMS systems and our internal
recruitment systems.
Troubleshoot and resolve any issues with VMS platform functionalities, acting as
the point of contact for vendor support.
Regularly update VMS systems with accurate job postings, staffing requests, and
candidate information.
Monitor and track job orders, submissions, and other relevant data across VMS
platforms.
Bullhorn Management:
o Manage and maintain Bullhorn CRM/ATS to ensure data accuracy, consistency,
and workflow optimization.
o Coordinate with recruiting and operations teams to streamline candidate
profiles, job requisitions, and placement workflows.
o Create reports and dashboards within Bullhorn to track key performance metrics
and ensure real-time visibility of candidate progress.
o Perform bulk data uploads/exports, ensuring fast and accurate input/output as
needed.
-Collaboration & Reporting:
o Collaborate with recruitment teams to ensure alignment between VMS systems
and internal staffing needs.
o Generate and distribute regular reports from VMS platforms and Bullhorn for
team and management review.
o Provide training and support for internal staff on the use of VMS systems and
Bullhorn tools.
-Process Improvement & Troubleshooting:
o Continuously assess and recommend improvements for VMS and Bullhorn
workflow processes.
o Identify areas for automation or streamlining to enhance productivity.
o Work with IT and vendor support teams to resolve system-related issues and
implement system upgrades or changes.
Key Qualifications:
Fast typing skills (minimum 60 words per minute).
Strong technical aptitude and problem-solving skills, with the ability to troubleshoot and
resolve issues independently.
Familiarity with the locum tenens recruitment process is a plus.
Excellent organizational skills and attention to detail.
Ability to work in a fast-paced, deadline-driven environment.
Strong communication skills, both written and verbal.
Self-motivated, proactive, and able to manage multiple tasks simultaneously.

Preferred Qualifications:
Experience working with other recruitment and staffing platforms or VMS tools.
Familiarity with other CRM/ATS systems and their integration into staffing operations.
Background in healthcare recruitment or experience in the locum tenens space.
