Plant Administrator

Position Overview :
The Plant Administrator provides comprehensive administrative and operational support for a manufacturing facility with approximately 350 employees. This role requires strong customer service, communication, and organizational skills. The position follows a Monday through Friday schedule, 8 : 00 AM to 4 : 30 PM (with a 30-minute unpaid lunch).
Key Responsibilities :
- Serve as the primary point of contact for visitors, ensuring a seamless check-in process, coordinating security access, and directing guests to the appropriate contacts.
- Work closely with the Safety Manager to maintain and distribute PPE and safety supplies at the front desk, ensuring all visitors and contractors comply with safety protocols.
- Administer Visitor / Contractor Safety Training and ensure compliance with site requirements.
- Manage the security badge system , issuing and replacing badges while maintaining accurate records of plant access for employees, visitors, and contractors.
- Answer and direct phone calls to the appropriate department or personnel.
- Provide administrative support to HR and other departments, including document preparation, copying, scanning, faxing, laminating, and organizing files.
- Track and manage employee lockers and uniform services .
- Audit office supply inventory and ensure availability of essential materials.
- Oversee coffee supply management , including ordering and stocking.
- Maintain front desk, break room, gym, and conference rooms, ensuring cleanliness and accessibility.
- Update internal plant communications , including digital screens, bulletin boards, and time clock postings.
- Coordinate and schedule meetings and conferences , including catering orders.
- Prepare and distribute swag for onboarding, career fairs, and employee engagement events , including managing vending machine coupons.
- Perform additional duties as assigned by HR or the Leadership Team .
