An Administrative Assistant provides essential support to ensure the smooth operation of our organization. This role performs highly responsible, confidential and complex administrative assignments for the Executive Team and Director of Human Resources. In addition to typing, filing and scheduling, the Administrative Assistant will be responsible for preparing materials for meetings taking minutes. This role also exercises independent judgement understanding the requirement for flexibility and accommodates shifting priorities while staying on task.
A. Maintains the Center’s contract files and contract database. Tracks contracts through the approval process. Monitors for contract renewals, notifying responsible staff and providing contract renewal details to appropriate party with 90-day contract expiration notice.
B. Answers and screens telephone calls, and delivers telephone messages for the Executive Team. Arranges conference calls.
C. Greets scheduled visitors and conducts to appropriate area or persons.
D. Assist HR with orientation and onboarding.
E. Types correspondence of the Executive Team. This includes mailed communications, requested faxes, e-mail, and confidential correspondence. Provides clerical support and assistance to others on staff, as needed.
F. Periodically checks for incoming faxes and sends outgoing faxes throughout the day for Executive Team.
G. Prepares purchase requisitions for Executive Team as needed.
H. Assists management with preparation of grant applications, as requested.
I. Assists management with preparation of peer review, as requested.
J. Assists management with preparation for safety meetings, drills and buddy list, as requested.
K. Notifies Board members and appropriate administrative staff regarding schedule and agenda for Board meetings. Makes reservation arrangements for meetings, if required.
L. Types all documents for monthly Governing Board meetings, makes copies of all necessary correspondence, and mails information to Board members prior meetings. Attends Board meeting and takes detailed meeting minutes. All minutes are finalized and completed with accuracy within seven (7) days of Board meeting.
M. Prepares monthly meeting agenda, notices, minutes and resolutions and prepares and distributes the meeting information packets, as requested. All minutes are finalized and completed with accuracy within four (4) days of meeting.
N. Creates and maintains filing system and database for approved meeting minutes that allow for ease of access
O. Manages the flow of internal and external mail. Receives, logs and distributes incoming daily mail to appropriate personnel.
P. Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities.
Q. Manages petty cash fund: logs petty cash disbursements in petty cash log; reconciles fund with appropriate personnel; requests reimbursement of funds ($500.00)
R. Composes and types correspondence.
S. Maintains confidentiality of all corporate and personnel matters.
T. Other duties as defined.

Pay: $18.30 - $19.25 per hour
