Hybrid: Days in office will be 4 (flex)
Seeking a dynamic individual to provide high-level administrative and project coordination support to the Vice President and several Sr Director Level.
Job Responsibilities include:
- Managing meetings, conference calls, videoconferences, and events and taking meeting minutes.
- Exhibiting prudent discretion in handling highly confidential and sensitive information within the organization and across Telecommunication.
- Managing schedule and appointment calendar(s) and maintaining sensitivity to changing priorities. Working with other Executive Assistants to coordinate Executive schedules.
- Proactively managing calendar screening for presentations to be prepared, conflicts, and important meeting attendance weeks prior for resolution or preparedness.
- Making travel arrangements- scheduling itineraries, meetings, and related activities.
- Proactively preparing necessary materials for meetings, presentations, etc.
- Reconciling and maintaining all expense reports by Telecommunication guidelines.
- Handling sensitive information requiring a high degree of discretion and absolute confidentiality.
- Performing project-related duties to coordinate small projects.
- Tracking organization's compliance on Time Reporting, Mandatory Training.
- Assisting with Resource Onboarding activities as well as budget management
Candidate will need to have:
- Ten or more years of work experience.
- Experience in executive administrative assistance.
- Experience in Google Office Suite.
- Strong interpersonal and communication skills
- Ability to stay organized and meet deadlines
- Ability to successfully prioritize and provide accurate follow-up on all issues and correspondence.
- Self-starter with a strong sense of ownership and involvement.
