Job Duties and Responsibilities:
Leadership and Planning
- Collaborates in a leadership role with the Medical Director and Hospital Manager (HLT) as the “owners” of the hospital’s success.
- Act as a champion for change and identifies, documents, shares, and promotes best practices
- Assists the HM with administrative duties, including but not limited to daily revenue/labor reports; monthly credit card statements; submit and monitor accounts payables; errands such as bank, post office, others.
- Participates in weekly to bi-weekly meetings with HLT and other department leads. Attend weekly leadership meetings, keep minutes and post.
- Participates in weekly to bi-weekly full staff meetings. Plan weekly staff meetings and keep minutes to post.
Operations
- Trains and is competent in either CSR or Veterinary Technician duties as outlined in respective job descriptions, be able to fill in when and if needed. Supervise the technician and CCR schedule, including finding coverage or working a shift yourself when someone is absent (if applicable).
- Approve paid leave requests in conjunction with the senior hospital manager.
- Ensures teams and hospital are OSHA compliant. Participate in quarterly safety committee meetings; keep minutes and post.
- Monitors equipment systems and works with HelpDesk or local IT company to resolve technical systems/equipment issues.
- Quality check hospital tasks lists to ensure maintenance and hospital cleanliness is completed.
- Ensure that all certified veterinary technicians maintain state licensing requirements annually.
- Coordinate internship programs with area schools.
- Oversee the ordering of drugs and supplies, maintain adequate inventory levels, and have a physical inventory count on a regular basis.
- Meet with pharmaceutical company representatives and vendors to review product and sales information. Purchasing decisions must be made in collaboration with the senior hospital manager (financial management) and medical director must review and accept new drugs before an order is placed (medical management and protocols).
People Management
- Completes employee orientation and works with HM on performance appraisals. Review the performance and salaries support staff with a quarterly coaching session and written annual review. The senior hospital manager must approve all reviews before presenting to the employee.
- Coordinates training for all employees. Organize regular training sessions for techs and CCRs.
- Develop and implement a phase-training program for new hires and conduct 30- and 90-day reviews.
- Educates employees on hospital policies and procedures, medical protocols, and client compliance program responsibilities.
- Coaches and mentors employees and identifies continuous learning and skill building needs.
- Mediates conflict and maintains employee morale. Help create an environment of teamwork and respect.
- Place ads for open positions and conduct interviews.
- Maintain the confidentiality of salaries, performance reviews, and all other personal information shared by employees.
Client Service
- Drives client visits through strategic client communication.
- Trains staff on client service initiatives and uses client visit growth best practices.
- Demonstrates and reinforces the highest level of client service.
- Manages client relationships; effectively resolves client issues and escalations.
- Oversees client follow-up procedures, including reminders and callbacks.
