JOB SUMMARYResponsible for Dayton administrative functions and projects supporting ministries, site directors, giver communication, childcare, and Central Buyer in planning execution of weekly work, projects and offsites. This role also supports the Dayton Community Pastor. Many functions will be accomplished by leading volunteers who are completing these tasks and projects. Must be able to cast vision to volunteers so they understand how performing their responsibilities fits into the bigger Crossroads vision. While many tasks/projects and a huge number of details are involved, developing and caring for people executing these tasks is a priority.
PRINCIPAL DUTIES & RESPONSIBILITIES
- Responsible for leading, developing and building a volunteer team who assist in completing administrative functions and projects for the site.
- Support site staff for each ministry in project and admin needs.
- Maintain and communicate project timeline to site staff.
- Connect with People Ministries when needed to streamline and create processes which directly affect the site.
- Lead all meeting and event preparation (facilities request, room stock, RSVPs, food, agenda, print materials, etc.)
- Act as frontline for site bills, establishing vendors, approving payment or directing them as appropriate
- Special projects for the site team including planning team offsites.
- Updating catering notebook and ordering food for meetings as agreed.
- Assists with approval of all requests for facility space, help determine appropriate room locations and setups, audio/visual needs, ensure available rooms meet the needs requested, allocate appropriate resources to support setup/teardown of space, access room usage and institute systems that communicate with the Building Operations Manager to proactively maintain each space.
- Provide support to Site Directors and Community Pastor by assisting in scheduling and prioritizing and organizing daily.
- Manage the day-to-day/weekly inventory and place timely orders for products (pens, bibles, misc. office needs, coffee related products – cups, condiments, etc., stock printed material) from the central buying system.
- Owns the kitchen, work room, meeting rooms and troubleshoots office machines.
- Entering into crossroads.net KC new family forms, profile changes, background checks, room requirements and approvals.
JOB QUALIFICATIONS
Education Requirements:
- High School Diploma or equivalent work experience.
Experience / Skills Requirements:
- Cast vision to volunteers so they understand how performing the task fits into the bigger Crossroads vision.
- Develop authentic ongoing relationships with leaders and volunteers of ministry teams and their administrative teams.
- Work collaboratively with all ministries and site team.
- Excellent oral and written communication skills.
- Self-motivated and able to manage multiple tasks.
- Organized, disciplined with priorities, meticulous attention to detail.
- Experience with Mac/PC, Internet Explorer, and Google Docs.

Physical Requirements:
- Performs effectively under pressure, and against strict time constraints.
- Must be able to walk up to 3 miles, standing, climbing, lifting, pulling, and/or pushing, carrying, reaching, and stooping as duties required.
- Must be able to lift up to 50 lbs.
Scheduling / Travel Requirements:
- 32 hours/week
- Must be able to work a flexible schedule including weekdays, weekends and other high impact events at Crossroads (ie Super Bowl of Preaching, Easter, Christmas Eve, etc.)
- Travel as needed for staff meetings.
