What are the responsibilities and job description for the Front Desk Receptionist position at Crossroads School?
Crossroads School is looking for a half-time Receptionist to manage our front desk from 7:45-11:45 Monday to Friday on school days only (August to May, with school holidays off according to the Crossroads School calendar); this position could be combined with our half-time Development Assistant position (see other listing on really). The Receptionist will perform a variety of administrative and clerical tasks. As a Receptionist, you will be the first point of contact for the school. You will welcome guests and greet people who visit or call. You will coordinate a variety of front-desk activities. To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.
Responsibilities
- Use the bell system to admit guests, then greet and welcome them
- Maintain security by following sign-in/out procedures for all visitors, as well as students who arrive late or leave early
- Answer, screen, and forward incoming phone calls and texts and/or take messages
- Make calls and send texts as needed to help with communication with parents
- Manage attendance records for students and staff
- Help with student and staff lunch orders, tracking lunch payments, and monitoring and storing lunch inventory and supplies
- Receive and record tuition payments and send notification to parents as needed
- Keep a safe, clean, and attractive reception area
- Keep resource room tidy and notify supervisor when items need replenishing
- Assist administration and staff with clerical and other tasks on request and as time allows
Skills
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. copy machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- High school diploma preferred; additional certification in Office Management is a plus
