We are seeking a dynamic individual to become the Office Manager. The Office Manager oversees daily administrative operations and ensures organizational efficiency. This role coordinates office procedures, manages supplies and equipment, supports administrative staff, and liaises between departments to facilitate smooth workflow and communication throughout the organization. Additionally, the Office Manager manages Carelogic documentation and monitoring documents for Medicaid Quality Assurance and compliance.
ESSENTIAL DUTIES AND RESPONSIBILITIES: The following tasks are necessary for the role. Additional duties may be assigned as needed.
Oversee general office operations and administrative functions to ensure efficient operations.
Support administrative staff, including training, task delegation, and workflow optimization.
Manage office supplies inventory, purchasing, and budget tracking.
Coordinate facility maintenance and repair services as needed.
Implement and maintain office policies, procedures, and systems.
Organize and schedule meetings, appointments, and travel arrangements for management.
Maintain electronic and paper filing systems with appropriate document retention practices.
Process and distribute incoming and outgoing mail and correspondence.
Prepare regular reports on office operations and administrative metrics.
Serve as the primary point of contact for office vendor relationships.
Coordinate with the IT department to resolve technology issues and implement system improvements.
Qualifications
Education:
A bachelor's degree in business administration, office management, health information management, or a related field is preferred.
A minimum of an associate's degree with additional relevant experience is preferred.
CAT or CAS certification is preferred, but not indispensable.
Experience
Minimum of three (3) years of office management or senior administrative experience.
Minimum one (1) year of experience in substance misuse and/or behavioral health.
Intermediate knowledge of Carelogic or similar EHR systems.
Knowledge of Medicaid billing requirements and documentation standards.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) at the intermediate level.
Experience with medical coding systems such as HCPCS, ICD-10, and DSM-5.
Skills And Abilities

Problem-solving and conflict resolution capabilities.
