Schedule:
- In Office
- Monday to Friday 8:15 am -5:30 pm
- Occasional Saturdays 10 am - 2 pm
- ~36-40 hours per week
Essential Functions:
· Managing Delinquencies: Oversee and manage delinquent accounts, implementing effective strategies to address and resolve payment issues.
· Monthly Reporting: Generate and analyze monthly reports to track leasing performance, occupancy rates, and other key metrics.
· Resident Correspondence: Communicate with residents, addressing inquiries, concerns, and providing timely and helpful responses.
· Conducting Tours of the Community: Showcase the community to potential residents through guided tours, highlighting key features and amenities.
· Marketing: Implement marketing strategies to attract potential residents, utilizing in-person interactions, telephone conversations, and email campaigns.
· Customer Service: Develop and maintain strong customer service relationships with prospects and existing residents to enhance the overall living experience.
· Closing the Sale and Securing Leases: Assist in closing leasing deals, securing leases, and ensuring a smooth transition for new residents.
· Lease Documentation: Assist in creating leases and completing necessary paperwork with accuracy and efficiency.
· Office Operations: Contribute to daily office operations, including processing and maintaining property files, ensuring an organized and efficient work environment.
· Team Collaboration: Collaborate with the team to achieve common goals and objectives, providing support to various departments as needed.
· Stand-in Community Director: Act as a stand-in for the Community Director in their absence, ensuring continuity in leadership and operations.
· Fair Housing Certification: Obtain and maintain Fair Housing Certification to ensure compliance with fair housing laws.
· IT Security Training and Continuing Education: Stay up to date with IT security training and continuing education courses.
Additional Functions:
· Provide administrative support to the property management team.
· Answer and direct phone calls professionally and courteously.
· Greet and assist visitors, ensuring a positive and welcoming experience.
· Maintain office supplies and equipment inventory, placing orders as needed.
· Prepare and distribute correspondence, memos, and reports.
· Maintain tenant records and ensure accurate data entry in property management software.
· Assist with property maintenance coordination, including submitting work orders.
· File and organize documents, ensuring proper record keeping.
· Handle sensitive and confidential information with discretion.
Qualifications:
· High school diploma or equivalent required; Associate’s degree preferred.
· Previous experience as an administrative assistant or in a similar role preferred.
· Knowledge of Fair Housing regulations is a plus.
· Strong organizational skills with the ability to prioritize tasks effectively.
· Excellent written and verbal communication skills.
· Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint).
· Ability to learn and navigate property management software.
· Strong attention to detail and accuracy in data entry.
· Ability to multitask and work well under pressure in a fast-paced environment.
· Strong problem-solving skills and ability to negotiate conflicts.
