The Position
Reporting Structure: The Executive Administrative Assistant reports to the President – Dedicated Solutions.
Compensation: CRST offers a competitive compensation package, including a base salary and a comprehensive benefits program.
Job Schedule: Monday-Friday (8:00 AM-5:00 PM, 1-hour lunch) We understand flexibility is important, so this schedule can be adjusted to be earlier or have a shorter lunch, as long as an 8-hour shift is completed.
The Executive Administrative Assistant is responsible for supporting the executive team by managing schedules, coordinating travel, preparing reports, and safeguarding confidential information. This position plays a key role in ensuring smooth operations and seamless communication, allowing executives to focus on strategic priorities. Key responsibilities include:
- Welcome guests and customers with a cheerful greeting, either in person or by phone
- File financial reports promptly in the preferred format (e.g., paper, binders, electronic)
- Create reports, graphs, tables, and presentations for the executive team
- Manage executives’ calendars: schedule meetings, send reminders, and ensure punctuality
- Arrange travel: book flights, lodging, and rental cars, including corporate aircraft options
- Reserve accommodations for conferences, conventions, and board meetings
- Sort and process mail and correspondence
- Order supplies and oversee office equipment maintenance
- Protect confidential information to build trust and safeguard operations
- Act as a liaison with the Director of Facilities to maintain building standards
- Perform other duties as assigned
- Maintain regular and reliable attendance
Qualifications
- High school diploma or GED required
- Experience supporting senior executives with strong organizational and multitasking skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and the Windows operating system
- Excellent communication skills, with a focus on confidentiality and professionalism
- Strong attention to detail and the ability to meet deadlines in a fast-paced environment
