ROLE OVERVIEW

Cru and Co Events is seeking an enthusiastic and passionate Associate Wedding Planner to lead the planning, design and coordination for 2025/2026 weddings. The Associate Planner will take the lead for Cru’s Wedding Management service detailed below. This role will be a great fit for an experienced event professional seeking part-time, contract work. We’re seeking an individual who can commit to 4-6 wedding weekends annually. Please note that is not an entry level role and requires a minimum of 3-5 years wedding industry experience.

RESPONSIBILITIES MAY INCLUDE

Below we have outlined anticipated responsibilities. Scope of work may shift and will be discussed on a per project basis.

  • Prospective Client Calls: Join the owner on Zoom calls with prospective clients to assess whether it’s a good fit for a proposal. Evening availability is often required for scheduling.
  • Internal Check Ins: Meet with the owner weekly for internal check in meetings. Check ins will move to bi-monthly as training and experience progress.
  • Client Lead: Serve as the client lead for all phases of the scope of work for each assigned wedding contract.
  • Internal Task Management: Work within Cru’s internal project management system, Asana, to track all processes and to do’s. Pre-set workflows and deadlines will be provided.
  • Client Portal Management: In collaboration with the client, keep each client’s planning portal (housed on Google Drive) up to date with all planning details. Google Drive templates are provided for all phases of planning.
  • Client Meetings: Independently lead each client’s series of pre-determined planning meetings. A typical meeting series includes six virtual meetings on Zoom and one in-person site visit. Each client’s meeting schedule will be discussed before going to contract and dates will be scheduled at least one month in advance. For any client-requested meetings outside of the agreed upon scope of work, the Associate will be paid an additional hourly rate.
  • Emails: Remain available to the client for ongoing email communication. Expectation for email response time is 48 hours within Monday - Friday business hours. Cru will provide a number of email templates to work from.​
  • Timeline Creation: Create and manage each client’s timeline, housed in Timeline Genius. Cru will provide templates and the owner will review all timelines with the Associate to ensure a smooth flow to the day.
  • Vendor Coordination: Beginning 2 months out, lead the coordination process with vendors to ensure that everyone is on the same page regarding timeline and logistics. The Associate will be copied on all email communications and will take the lead on vendor communication during this time. The Associate will attend all final logistics calls with the client’s vendor team.​
  • Event Day Preparation: Lead a 30 minute virtual event prep meeting with the owner and any event assistants assigned to work the event. Cru will provide an event day kit to the Associate to travel with at the event, providing many wedding day emergency needs. The Associate will be responsible for printing event day materials (timelines, floor plans, guest lists, etc.). Cru will provide name tags, clipboards, cross-body bags, and radios.
  • Ceremony Rehearsal: Lead a ceremony rehearsal, typically the day prior to the wedding, and requiring up to 90 minutes of time on-site.
  • Wedding Day Lead: Provide 8 hours of wedding day coverage alongside at least one event assistant. Additional day-of hours will be paid at an additional hourly rate.
  • Additional Wedding Day Support: Opportunities for day-of support for events led by the owner.

The Associate Will Not Be Responsible For:

  • Any wedding planning responsibilities that fall outside of each client’s scope of work.
  • Marketing and social media efforts.
  • Prospective client lead management.
  • Proposal and contract creation.
  • Day-of contractor staffing and training.

Training Period:

  • There will be a 1-2 month onboarding period where we’ll cover roughly 15-20 hours of training on all systems and planning processes. Training will include a mix of Zoom and in-person meetings, as well as pre-recorded training videos. The Associate may be asked to shadow client and internal meetings for training purposes. Training will be paid hourly as outlined below.

DESIRED SKILLS

  • Minimum five years experience within the wedding and events industry.
  • Minimum three years experience in a client-facing, event planning role.
  • Comfort and familiarity with the luxury wedding market.
  • Experience in some or all of the following online tools: Asana, Google Drive, Canva, BeMerri, Timeline Genius.
  • Organized and detail oriented.
  • Able to manage one's own time efficiently as the majority of work will be done remotely.
  • Creative thinker and a natural problem solver.
  • Cool under pressure and able to work through challenges with poise.
  • Optimistic and a positive attitude.
  • Strong communicator, both written and verbal. Commitment to prompt response time.
  • Comfort with both working independently and leading a team.​

LOCATION

This role will be primarily remote, with the option to work in-office in Needham, MA when desired. Candidates must be located within 1 hour of Boston, MA and willing to travel within a 2 hour radius around New England for events.

TIME COMMITMENT

The time commitment will vary based on the scope of the project, but on average we anticipate a base commitment to be 30 - 40 hours per wedding.

The Associate will be asked to attend a weekly check-in with the owner, which may turn to bi-monthly over time and usually 30 - 60 minutes in length.

While the majority of work will take place remotely, occasional in-person client meetings may take place with advance scheduling. Must have flexibility for both weekday daytime and evening availability to meet with clients and vendors.

Total number of events are not guaranteed. We are aiming to book up to 5 events for this role in the 2025 season. If desired, the associate planner may also assist the owner on additional events as part of the day-of team.

We hope to onboard this role by early spring and begin working with clients as early as summer 2025.

COMPENSATION

The base flat fee for each wedding will be $3,400, paid in three installments throughout the course of each project. All travel costs associated with the scope of work will be covered separately. A hot vendor dinner will be provided at every event.

The training period will be compensated at the rate of $30.00 per hour.
