Executive Assistant to the COO

Cruz Companies is seeking a highly organized, proactive, and tech-savvy Executive Assistant to provide high-level administrative support to the company COO in our Boston office. This individual will handle a wide range of administrative and support tasks and will be expected to independently initiate and implement processes to effectively manage projects, schedules, information, and people.

Requirements

  • COO Calendar Management : Schedule appointments, handle meeting requests, and make calendar updates / changes in a timely manner, while prioritizing the most sensitive matters with a high level of confidentiality.
  • Meeting Support : Assist the COO in preparing for meetings with internal and external stakeholders, including drafting agendas, developing and distributing presentation materials, taking notes, recording meeting minutes, and keeping track of follow-up items.
  • Point of Contact : Serve as the primary point of contact for the COO, greeting employees, visitors, clients, and vendors; screening and directing incoming phone calls; and sorting the COO's mail.
  • Daily Schedule Management : Use discretion, judgement, and knowledge of the organization to facilitate the COO's activities, making adjustments and recommendations to make sure the COO's day-to-day schedule is on track.
  • Support on CEO Initiatives : Work closely with the COO to keep him well informed of upcoming commitments, responsibilities, and important dates, and follow up on these appropriately; act as a resource across leadership on special projects; and conduct research and information gathering on behalf of the COO, which may include preparing summaries and reports.
  • Efficiency Improvements : Analyze current processes and procedures and assist in improving / creating procedures to facilitate effective and efficient administrative operations.
  • Event Coordination : Help coordinate and organize various company events and celebrations.
  • Relationship Management : Develop positive and strategic relationships at all levels of the organization.
  • Other Administrative Duties : File, scan, and photocopy documents; order supplies and services; approve purchase orders and check requests; submit expense reports for approval from the COO on behalf of managers; occasionally may provide administrative support as back-up for other departments.

Knowledge, Skills & Certification Requirements

  • Bachelor's Degree preferred.[LR1]
  • A minimum of 3 years of previous experience in an administrative or support role is preferred.
  • Strong professional, interpersonal, and customer skills.
  • High level of confidentiality and discretion.
  • Good verbal and written communication skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • High organizational skills and ability to multitask.
  • Excellent problem-solving skills, proactive, and great at decision making.
  • Ability to function well in a fast-paced and sometimes stressful environment.
  • Highly proficient with Microsoft Office including Suite, Word, Excel, PowerPoint and other
  • software like Adobe Acrobat Pro, with the ability to learn new or updated software.

  • Interest in emerging technologies, such as AI for note-taking.
  • Extensive knowledge of Calendar Management software like Google, Outlook, Calendly, and Zoho.
  • Ability to travel on occasion as needed.
  • Ability to go to afterhours events as needed and accessible to the COO after hours when urgent travel, scheduling, or other needs arise.
  • Having a working a vehicle is a must.
