Job Summary
The Event Manager is responsible for managing all aspects of event coordination from planning to execution and interfacing between clients and the Charlotte Convention Center departments, with a goal of maximizing client satisfaction and operational efficiency to expand revenue potential and promote repeat business.
Job Responsibilities
Maintain a high level of communication with clients and provide them with all necessary information relative to the staging of their events.
Guide clients in facility rules, regulations, and policies and procedures to ensure operational efficiency and increase customer satisfaction.Ensure clients’ and contractors’ knowledge of and compliance with all applicable regulations to ensure fire and safety policies and procedures are met.Review event floor plans, schedules, and logistical needs and make recommendations when necessary.Keep clients and contractors informed of deadlines, including floor plans, event specifications, and other relevant details.Obtain, organize, and interpret detailed requirements and schedules from clients and contractors to ensure all internal departments have the necessary information to successfully and efficiently execute the event.
Create and revise room layouts with knowledge of fire code regulations and building resources.Ensure that input to the Event Management System is maintained and up-to-date.Create, distribute and publish event information that is clear, comprehensive, and in accordance with internal event scheduling deadlines and departmental standards.Participate in, and schedule, when necessary, internal and external meetings to ensure that all parties have a thorough understanding of all aspects of the event.Foresee problems and head off through proper planning and anticipation of problems or issues.Coordinate workflow and monitor in-house activities by interfacing with clients and contractors and directing the activities of the internal staff.
Oversee all event activities and follow up on all client requests, concerns, and problems.Update, manage, and chase delegated tasks to ensure progress to deadlines.Issue changes, corrections, and updates as necessitated by evolving event requirements.Prepares reports for Risk Management in the event of patron accidentsAct as on-site building manager during events directly overseeing all departments and service contractors in relation to the Execution of the Event.Check all lease space to ensure that all client and contractor equipment is removed by the end of the contracted period.
Ensure that all space is clear and clean in accordance with facility policies.Assist with the preparation of final client bills by data input in Event Management System and provide signed supporting documents when required.Participate in industry-related trainings and events and stay current with industry trends to make recommendations in response to changes in the industry.
Actively assist in the training and development of new Event Services staff.Consistently deliver the best in customer service.Champion CRVA’s mission, vision and core values and comply with organizations policies and procedures.2. Bachelor’s Degree (B. A.) or equivalent from four-year college or university2 years related experience and / or training, or equivalent combination of education and experience.CMP, CEM or CVP certifications preferred.Experience in arenas, stadiums, theatres, and amphitheater a plus.Knowledge and Skills
Establish and maintain effective working relationship with diverse groups of people in high pressure situations.Able to manage challenging situations and interactions.Prioritize and plan work activities, use time efficiently, multi-task, perform under minimal supervision and work extended / irregular hours as necessary including nights, weekends, and holidays.To perform this job successfully, an individual must have a basic working knowledge of Microsoft Office.Experience with Momentus software preferred.Physical Demands
