POSITION SUMMARY
Providing support to our Senior Leadership Team, this role requires exceptional communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Administrative Assistant will be responsible for calendar management, meeting coordination, travel planning, and confidential administrative support, while also serving as a key liaison between the leadership team and internal and external stakeholders. This person must be resourceful, discreet, and thrive in a dynamic, high-level executive setting.
ESSENTIAL DUTIES
Manage complex calendars for multiple senior leaders, including scheduling meetings, appointments, and travel.
Coordinate internal and external meetings, ensuring clear agendas, materials, and follow-up actions are prepared and tracked.
Handle travel arrangements, including flights, accommodations, ground transportation, and itineraries.
Prepare high-quality communications, presentations, and reports on behalf of the leadership team.
Serve as a liaison between executives and internal/external stakeholders, ensuring timely and professional communication.
Manage confidential and sensitive information with discretion and professionalism.
Support special projects and company events as needed.
Monitor and respond to emails and inquiries, prioritizing urgent matters and ensuring appropriate follow-up.
Maintain and organize executive files, documents, and records.
Anticipate needs and take initiative to improve processes and workflows that support leadership effectiveness.
QUALIFICATIONS, KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS
Exceptional organizational and time-management skills.
Strong written and verbal communication abilities.
Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), and experience with tools like Zoom, Slack, or project management platforms.
Proven ability to manage multiple priorities with a calm, positive, and proactive approach.
High level of discretion, integrity, and professionalism.
Ability to work independently and collaboratively as part of a team.
EDUCATION
Bachelor’s degree or equivalent work experience.
WORK EXPERIENCE
5 years of experience supporting senior executives in a fast-paced environment, preferably in a resort, hospitality, or tourism setting.

PHYSICAL DEMANDS AND WORKING CONDITIONS
Position may require occasional work on evenings, weekends, and holidays, especially during winter season.
The ability to work for extended periods of time sitting, bending, reaching, and speaking constantly.

Auditory and visual ability to operate computers, phones, mobile devices, and basic office equipment constantly.
