Responsibilities
- Ensure fleet vehicles meet regulatory standards, including FMCSA and DOT inspections, registration, and maintenance.
- Conduct routine audits of vehicle logs, maintenance schedules, and inspection documentation.
- Maintain updated driver qualification files, including CDL validation, medical certificates, training records, and HOS compliance.
- Monitor driver ELD logs via Motive (KeepTruckin) for HOS violations and provide corrective training or action as needed.
- Monitor trailer usage to meet customer deadlines (e.g., 4-day return policy for our client’s trailers, penalties starting at $150/day beyond deadline).
- Ensure trailers are in compliance with regulatory requirements and safe for use.
- Enforce compliance with our client’s customer expectations, such as real-time updates, on-time pickup/delivery, and driver change notifications.
- Manage operational compliance for high-priority contracts, including penalty avoidance for trailer delays or delivery failures.
- Screen and onboard third-party carriers, ensuring they meet our client’s standards for compliance, including insurance, DOT/MC authority, and safety ratings.
- Maintain a qualified carrier database and ensure timely renewal of certifications.
- Verify load tenders, contracts, and other brokerage agreements align with regulatory requirements.
- Ensure proper documentation for shipments, including Bills of Lading (BOL), carrier agreements, and rate confirmations.
- Address and mitigate risks associated with non-compliant carriers, including suspending or removing unsafe operators from the network.
- Oversee cargo claims and insurance policy adherence for both asset-based and brokerage shipments.
- Conduct internal audits of our client’s operations, ensuring all compliance documentation is accurate and up to date.
- Prepare and present reports on compliance status, audit results, and corrective action plans.
- Stay current with changes in transportation regulations (e.g., FMCSA, DOT, state-specific laws).
- Implement new compliance procedures and train staff on updates.
- Investigate compliance violations, including late deliveries, trailer penalties, or driver issues, and implement corrective actions.
- Document all incidents and follow up to ensure future compliance.
- Leverage technology platforms like (TMS), Motive (ELD), and GPS tracking tools to monitor real-time compliance.
- Utilize analytics tools to identify trends in compliance and develop risk mitigation strategies.
- Train drivers, dispatchers, and brokers on our client’s compliance protocols.
- Develop guides, checklists, and workshops to maintain a culture of compliance and safety.
- Bachelor’s degree in Logistics, Business Administration, or related field (or equivalent experience).
- 3-5 years in freight compliance, with experience in asset-based and brokerage operations.
- Familiarity with FMCSA, DOT, and customer-specific compliance requirements.
- Proficiency in compliance and logistics tools, including TMS, ELD (Motive (KeepTruckin)), and Microsoft Office.
- Strong knowledge of TMS platforms, ELD monitoring, and trailer tracking systems.
- Transportation safety certifications (e.g., Certified Transportation Safety Professional, CTP) preferred.
- Exceptional attention to detail and problem-solving skills.
- Excellent communication and collaboration abilities.
- Strong organizational skills and the ability to manage multiple priorities.
