What are the responsibilities and job description for the Administrative Support Assistant position at CSU Fullerton Auxiliary Services Corporation (ASC)?
Under the supervision of the PPOHA grant Project Directors and with daily oversight from the Program Director and the Program Coordinator, the ASA provides general office and administrative support to the ELEVAR Project.
*Please be aware that funding for this position is awarded through a Grant/Contract over a specified period. Employment for this position beyond current Grant/Contract funding is contingent upon continued funding or new Grant/Contract.
- Provide front office clerical support by screening phone calls, emails and assisting walk-in guests, faculty, staff, students and administrators.
- Assist with the preparation of travel documents, hospitality justification forms, and procurement card reconciliation.
- Assist with the preparation of meetings, including room reservations, preparing materials, taking minutes, and catering orders.
- Draft communication materials, newsletters and marketing/communication materials (fliers, etc.) and maintain project website.
- Maintain grant document file system.
- Maintain and update Internal Controls Manual.
- Assist with program event planning, including obtaining quotes for food and room rentals, ordering catering and supplies, and expenditure processing.
- Assist with graduate assistant recruitment and hiring.
- Assist with graduate assistant schedules, work assignments and time reporting.
- Enter program data on excel spreadsheets.
- Maintain calendar of project activities and deadlines.
- Provide administrative support to the project faculty coordinators.
- Provide administrative support to Program Coordinator and Program Director.
- Other duties as assigned.
- Minimum three (3) years of experience in general office, clerical or secretarial work or the equivalent.
- General working knowledge of university infrastructure, policies and procedures.
- Thorough knowledge of office methods, procedures, practices and equipment.
- Thorough knowledge of English grammar, punctuation, and spelling with demonstrated competence in effectively presenting standard information in writing.
- Ability to learn, interpret independently, apply, and identify deviations from a variety of complex policies and procedures.
- Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
- Ability to perform arithmetic functions of a transactional nature, including tracking and comparing data.
- Ability to use standard word processing and related computer software packages (Word, Excel, Outlook, PowerPoint).
- General organizational skills to manage multiple tasks and design projects within deadline in a fast-paced environment.
PREFERRED QUALIFICATIONS:
- Experience working in a higher education setting.
- Demonstrated understanding of issues of inclusiveness in higher education.
- Experience supporting federal grants.
- Experience working with diverse populations.
- Bilingual in Spanish and English.
EDUCATION:
- Minimum High School Diploma or equivalent.
- Minimum Bachelor’s degree, preferred.
PHYSICAL DEMANDS:
Prolonged sitting in front of computer. Walking, talking, hearing, pulling, bending, may carry 10-15 pounds of objects/material, not exposed to extreme noise level, use hands to finger, handle, or feel, reach with hands or arms, stoop, kneel, taste or smell.
