The Accounts Payable Specialist is responsible for reviewing and processing check requests, including travel expenses, for the general fund, campus programs, and commercial general administration. The role also includes initiating and encumbering purchase order requests and performing monthly reconciliations. The A / P Specialist ensures that all payment procedures comply with the corporation's policies and procedures. Additionally, the A / P Specialist will initiate, implement, and train P-card account users as necessary, and prepare the required monthly P-card account reconciliations.

Essential Duties

• Vet new vendors and update their address information.
• Process check requests and travel expense claims.
• Process CSUF Cashier invoices and assist the A / P Supervisor with reconciling CSUF's aging invoices.
• Reconcile vendor statements with the A / P Aging report.
• Maintain working relationships with vendors and ASC operational personnel.
• Prepare journal entries as necessary.
• Encumber purchase orders (PO) and close them once payments are made.
• Assist the A / P Supervisor in clearing advance accounts.
• Support the annual 1099 process, including review and distribution.
• Assist with data entry audits on payable batches and other tasks to support the accounts payable department.
• Initiate, implement, and provide training for P-card account users.
• Assist with P-card reconciliation.
• Perform other duties as assigned.
• Serve as a back-up for other Accounts Payable functions.

EDUCATION :

PHYSICAL DEMANDS : Prolonged sitting in front of computer. Walking, talking, hearing, pulling, bending, may carry 10-15 pounds of objects / material, not exposed to extreme noise level, use hands to finger, handle, or feel, reach with hands or arms, stoop, kneel, taste or smell.

Do you have a minimum High School diploma or equivalent?

Do you have a minimum two (2) years' accounting, accounts payable, or accounts receivable experience?

Do you have general knowledge of Generally Accepted Accounting Principles (GAAP); office methods and procedures; statistical and mathematical presentation of data; advanced proficiency with current word processing and spreadsheet software programs, web browsers, query tools, integrated financial systems and / or other types of records management systems?
