Overall Purpose: Why the Job Exists & What You Will Do:
As the parts coordinator, your duties and responsibilities are to maintain a stock of spare parts, quote prices to customers, manage backorders, and maintain vendor relations, including ensuring invoices, shipment slips, and other billing issues are taken care of promptly. Provide professional customer service experience with both internal and external customers.
Essential Job Functions & Expected Outcomes: Your Accountabilities in the Role
- Parts Coordinator: 100% of the Job
- Maintain and stock of spare parts with routine inspections of inventory and ordering when parts are los
- Quote prices to the customers
- Manage backorders
- Processing invoices, shipment slips and other billing issues (A/P, A/R) overdues
- Assist with customer inquires
- Reconciliations
- Ordering of Office Supplies
- Marketing actives – Trade Shows
- Assist Office Manager with assigned task

- Education: High School diploma or GED corticate
- Experience: 3 years in related field, good customer service experience and understanding of invoice processing A/P & A/R
- Certification(s): N/A
- Functional Skills: Assist with tradeshows and ability to multitask.
- Technology Aptitude/Skills: Proficient PC/Microsoft skills, QuickBooks a plus.
- Language Skills: Excellent verbal and written communication skills; able to present and train customers on existing and new products.
- Leadership/Behaviors: Demonstrates a high customer-service and support personality who has a strength in educating others; forward thinking and resourceful to handle obstacles quickly; works well independently and with a team to collaborate on best practices. Excellent ability to listen and influence customers towards new systems, services, parts, and products.

Equipment Used:
- This role routinely uses standard office equipment such as computers, phones, photocopiers, electronic devices, filing cabinets and fax machines.
- This role routinely uses basic hand tools and other equipment as needed to the role.
Physical Requirements to Perform Essential Functions:
- Ability to sit and operate motorized equipment/vehicles as needed for the role (6 hours per day)
- Ability to use hands and fingers to operate hand tools/equipment and machinery frequently throughout the day
- Ability to stand for up to 5 hours per day
- Ability to operate keyboard and view computer screen for up to 5 hours per day
- Ability to write or present ideas/information in a logical flow throughout the day
- Cognitive and reasoning ability to read, review and interpret work orders or handle on a frequent basis
- Ability to read and respond on an on-going basis daily due to nature of the work
- Ability to talk and communicate with others via phone, in-person, and computer on-going
- Ability to listen to others, problem-solve, and respond accordingly throughout the day
- Ability to stand, sit, walk, bend, climb, reach, stoop, squat, kneel, crouch, crawl, twist, push, pull and carry items frequently
- Lifting up to 20 lbs. sporadically and climbing up to heights of 15-20 feet required.
