Overall Purpose: Why the Job Exists & What You Will Do: |
This position brings together elements related to transportation, including rating, regulation, software, and compliance for the domestic and international freight, planning, and shipment processes in a timely, accurate, error-free, and efficient information to move product to internal and external customers. |
Essential Job Functions & Expected Outcomes: Your Accountabilities in the Role |
- Transportation is the hub for software knowledge, transportation workflows, and compliance regulations for CTB, Inc.: 100% of the Job
- Ability to assist in the administration of the transportation office duties, including maintaining and understanding all operations of the software system (OTM/GTM) used to manage shipments and carriers
- Ability to coordinate inbound and outbound loads between divisions, customers, and dealers using OTM Software on time and with detailed information.
- Ability to use OTM Software and its capabilities to plan, spot quote, tender, accept the tender, add shipment to dock scheduler, assign trailer numbers, create events, and other functions as needed for shipments.
- Responsible to use critical thinking to select and maintain communications with carriers, shipping, customer fulfillment, and shipping docks to ensure shipments are tracked using OTM, spreadsheets, or any other form for data gathering and decision-making.
- Responsible for maintaining, problem-solving, errors, shipment management, carrier, rates, and other actions in OTM/GTM as super users.
- Responsible for matching and maintaining on-time payment for freight invoices to carrier-agreed pricing, including contract, hotshots, house carrier loads, and LTL for inbound and outbound
- Responsible for accurate records for compliance and completing all forms for IRP, IFTA, CTB vehicles, keeping driver’s DOT files up-to-date and complete
- Responsible for filing freight damage claims
- Responsible for IPASS tracking, adding account numbers for company vehicles
- Responsible for Fees on any other CTB vehicles, such as tolls or speeding tickets
- Responsible for company vehicle on-time payment and fuel auditing (Marathon, BP, Co-op)
- Responsible scheduling of fleet drivers that includes managing inbound and outbound vendor drops and pick-ups
- Assist with quoting LTL and truckload prices to customers and Customer Service,
- Responsible for communications with delivery trucks at the gate in help alert docks and provide directions to staging areas
- Other marginal duties as assigned

Position Requirements: |
- Education: High School Diploma or GED preferred, or equivalent combonation of course work and direct work experience accepted.
- Experience:
Prior clerical/shipping/transportation/dispatch experience
This position requires a strong focus on safety
Ability to read, write, and do basic math in English
Strong communication skills both inside and outside of the department
Ability to work under pressure with deadlines
Knowledge of the LTL trucking system to aid in tracing, routing, and filing claims
Must be able to carry out written or oral instruction

- The employee is primarily exposed to an office setting with moderate to loud noise, greasy/dirty areas, high heat in the summer or cold in the winter.
- The employee is required to wear suitable Personal Protective Equipment while working outside and visiting manufacturing departments.
- The position may face inclement weather when traveling or performing duties outside as needed for the role.
- Travel: Limited local travel is required.
