SUMMARY:
The Tribal Court Administrator and Outreach Coordinator is responsible for the administrative functions of the Confederated Tribes of Coos, Lower Umpqua, and Siuslaw Indians (CTCLUSI) Tribal Court, Wellness Court and Peacegiving Court administration and outreach and any other specialty courts which may be developed.
PRINCIPAL ACTIVITIES & RESPONSIBILITIES
- Coordinates and assists the Chief Judge (and other acting judges) and legal staff in administrative responsibilities.
- Maintains information management systems, including correspondence, documents and other court records ensuring accuracy.
- Maintains security for all tribal court records concerning confidentiality, public access, retention, and scheduled document destruction.
- Oversee day-to-day operations of the tribal court, ensuring it functions smoothly and efficiently.
- Ensures that court schedules, hearings, and cases are properly managed and organized.
- Coordinates and assists in the preparation of cases.
- Collects fines, fees, issues receipts, and deposits collected funds with CTCLUSI’s Finance department.
- Assists the Chief Judge in the court’s budget, ensuring effective allocation of resources.
- Oversees the procurement of supplies and services needed for court operations.
- Identifies and researches funding opportunities, collaborating with the Chief Judge to prepare grant applications.
- Monitors grant funds and statistical information required for grant reporting.
- Distributes the Tribal Code to State, County, and Municipal legal departments, law libraries, national websites, and interested private individuals and entities.
- Assists with the development of Tribal Court Forms, including self-help forms and instructions, and maintain said forms.
- Provides timely updated information about the Tribal Court, including the public docket, to the tribe’s Website Manager for inclusion on the Tribal Court’s web pages.
- In collaboration with and under the supervision of the Chief Judge, develop and distribute outreach materials, press releases, and informational materials regarding Specialty Courts.
- Prepares quarterly reports and other reports as required for Specialty Court grants.
- Develops beneficial contacts with entities and agencies in the five-county service area, such as law enforcement departments, municipal courts, and human services departments, for which the CTCLUSI Specialty Courts may be a resource for tribal members.
- Under the Chief Judge’s supervision, provide formal presentations on Specialty Courts to outreach agencies and entities.
- Coordinates periodic meetings with Peacegivers.
- Maintains an accurate list of Peacegivers and their contact information.
- Provides technical support to Peacegivers involved in active cases.
- Coordinates quality, relevant training opportunities for Peacegivers and maintains the Peacegiving Court procedures and training manuals.
- With the Chief Judge, updates and maintains the Peacegiving Court procedures and training manuals.
- Provides technical support to Wellness Court staff, including but
not limited to:
- Coordinate hearing and meeting locations as appropriate
- Coordinate referrals to or inclusion of Peacegiving Court in Wellness Court matters
- Assist with procurement matters
- Assist with planning of Wellness Court graduations
- Coordinates data collection as to Wellness Court activities for use in grant solicitations and other appropriate reporting.
- Assists with community education regarding Wellness Court purpose and program.
- Interacts with Tribal members and the public in a courteous, professional, and efficient manner.
- Other duties as assigned
LEVEL OF AUTHORITY & RESTRICTIONS:
- This is a supervisory position.

WORKING CONDITIONS & ENVIRONMENT
- The noise level in the work environment is usually moderately quiet.
- May require local and out of town/overnight travel.
