Journeyman Administrative Assistant

We are seeking a Journeyman Administrative Assistant to join our team onsite with the client in Hanover, MD.
Duties and Responsibilities
Administrative Support
- Establish and manage Personnel Security (PS) Directorate / Adjudication and Vetting Services (AVS) databases and spreadsheets.
- Manage access control, including verifying clearance information.
- Perform record and file management and maintenance.
- Provide administrative support to PS / AVS Senior Leadership.
- Track internal and external actions.
- Serve as the Point of Contact (POC) for space and conference room reservations.
Communication Support
- Conduct analysis and identify actionable recommendations.
- Produce written artifacts and visual representations for client leadership.
- Respond to internal and external stakeholders with accurate and professional written or verbal communication.
- Submit drafts for government review, making timely edits before finalization.
- Facilitate knowledge-sharing sessions with leadership and stakeholders to document and map current challenges.
- Identify risks and redundant processes and present findings in a cohesive, visual format.
- Assess communication accuracy and consistency across the agency.
Writing, Editing, and Documentation
- Provide writing, editing, and documentation services.
- Communicate complex ideas in simple, easy-to-understand language for various stakeholders.
- Meet with stakeholders, customer representatives, vendors, and executives to gather necessary information.
- Ensure accuracy in all work products to effectively convey key messages.
- Establish and maintain a document repository.
Artifact Generation
The candidate may be required to produce various artifacts, including but not limited to:
- Announcements, brochures, advertisements, and marketing materials.
- Policies, processes, and procedures.
- "How-To" guides and instruction manuals.
- Charts, graphs, figures, and forms.
- Articles and reports on industry trends.
- Proofreading and copy editing for grammar and spelling.
Skills & Experience Requirements
Technical Skills
- Proficiency in Microsoft Office Suite, including Outlook, Teams, Word, Excel, Project, and Access.
- Experience with Adobe Suite, including Acrobat, Photoshop, Illustrator, PageMaker, and Premier.
- Familiarity with SharePoint, ServiceNow, and/or other task management systems.
- Ability to quickly learn and use designated software required for the role.
Communication Skills
- Superior oral and written communication skills.
- Strong command of the English language.
Education & Experience Requirements
Required:
- High School Diploma or equivalent.
- At least 2 years of relevant administrative and technical support experience.
Preferred:
- Experience working with the Department of Defense (DoD), particularly Defense Counterintelligence and Security Agency (DCSA).
Security Clearance
- Active Top-Secret Clearance (TS/SCI) is required for this position.
