Summary:

Seeking an experienced and highly organized Executive Assistant to support the VP – Finance & Strategy and manage key projects in a dynamic and fast-paced credit union environment. This hybrid role combines administrative support with project management responsibilities, contributing to the success of strategic initiatives, operational goals, and key business functions. The ideal candidate will be detail-oriented, proactive, and capable of juggling multiple tasks with precision while maintaining confidentiality and professionalism. This role involves occasional evening and weekend work.

Responsibilities and Duties:

Executive Assistant Duties:

  • Calendar & Schedule Management: Manage and maintain calendars, including meeting coordination, travel arrangements, and prioritizing appointments.
  • Communication: Serve as a point of contact, screen/make phone calls, draft emails, and other documents. Draft, proofread, and facilitate internal and external communications.
  • Meeting Support: Coordinate and prepare materials for meetings, prep agenda, take minutes, and follow up on action items.
  • Research: Synthesize publicly available information, track market data, provide background info, and perform research as requested.
  • Document Preparation & Filing: Prepare and organize reports, presentations, press releases, and other documents. Maintain a well-organized digital and/or physical filing system.
  • Event Coordination: Assist with various internal and external events as needed.
  • Confidentiality & Discretion: Handle sensitive information with confidentiality, professionalism, and discretion at all times.
  • Project Coordination: Support and track multiple projects, ensuring that timelines, budgets, and goals are met. Collaborate with VPs and Managers to define project objectives, deliverables, and resources.
  • Tracking & Reporting: Monitor the progress of ongoing projects, prepare progress reports, and ensure timely delivery of key milestones.
  • Stakeholder Liaison: Act as a liaison between the VPs, Managers, project teams, and external partners to ensure effective communication and collaboration.
  • Problem-Solving: Proactively identify and address any challenges that may arise in the execution of projects. Knowledge, Skills and Abilities:
  • Education: Bachelor’s degree in Business Administration, Communications, Project Management, or related field preferred. Equivalent work experience will also be considered.
  • Experience:
  • Minimum of three (3) years of experience as an executive assistant, administrative assistant, project manager, or in a similar hybrid role, preferably within the financial services.
  • Proven track record of managing executive-level schedules, handling communications, coordinating projects, and supporting senior leadership.
  • Skills:
  • Excellent communication skills, both written and verbal.
  • Ability to prioritize tasks, work under pressure, and adapt to changing priorities.
  • Strong attention to detail with an ability to maintain accuracy in high-pressure environments.
  • Strong interpersonal skills and the ability to work collaboratively with a variety of stakeholders.
  • Strong project management skills with the ability to handle multiple projects simultaneously.
  • High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Canva, Adobe Acrobat, and project management tools (e.g., Asana, Smartsheet, etc.).

Job Types: Full-time, Part-time

Pay: $17.00 - $30.00 per hour

Expected hours: 40 per week
