Job Description Summary
This position is primarily assigned to the San Luis Obispo Campus and will support staff at all three sites. Infrequent travel is requested to secondary sites.
The preferred scheudle is:
• Monday: 8:30am - 5:00pm
• Tuesday: 8:30am - 5:00pm
• Wednesday, 9:30am - 6:00pm
• Thursday: 8:30am - 5:00pm
• Friday: 8:00am - 4:30pm
DEFINITION
Under direction of the assigned administrator, this position coordinates enrollment activities, including admissions, registration, and outreach services, maintaining the student registration database in accordance with state and federal regulations, District and College policies and procedures. Coordinates communications and information to students and College staff regarding enrollment activities; guides personnel and students engaged in registration, admissions, and outreach operations; directs office activities to assist in the direction of Admissions, Registration and Outreach in the absence of the Director and performs related work as required.
DISTINGUISHING CHARACTERISTICS
The Coordinator, Admissions & Registration/Outreach position is distinguished from other positions by the assignment of a work schedule, which may include late afternoon, and early evening hours when there is no direct supervision, when an incumbent will provide the full range of admissions, registration and outreach services, and by the assignment of duties require a broad knowledge of the Admissions & Registration/Outreach office. The incumbent may act as a lead, train, and coordinate the work of Admissions & Registration/Outreach staff, records staff, temporary workers, other Banner users and student workers. Incumbents have a high frequency of responsible contact with students, staff and/or the public requiring tact, effective, and prompt customer service.
Incumbents in this position support Guided Pathways framework, student learning outcomes and institutional effectiveness by ensuring that students have access to Admissions & Registration/Outreach services and knowledge of information that will assist them in fulfilling admissions to registration requirements for all student populations. In addition, the incumbent will support Admissions & Registration to maintain the currency of department policies, procedures, Title 5 regulations and Education Code that supports more accurate and efficient services to students during the Admissions & Registration process.

Essential Functions & Qualifications
ESSENTIAL FUNCTIONS
• Coordinate the daily operations and activities of the Admissions & Registration/Outreach Office including office coverage to ensure efficiency of operations. Organize office functions and delegate work assignments;
• Coordinate and participate in admission, registration and outreach activities for both online and in-person services and related student support functions; ensure activities comply with established policies and procedures; coordinate special groups, on-campus, and off-campus registrations as required.
• Learn, interpret and apply legal mandates, policies, and regulations. Communicate with the Director, Outreach and Enrollment Services and appropriate administrators changes in state regulations regarding admissions and registration;
• Maintain the student registration database, term setup, test, troubleshoot, and ensure data integrity of the student information system, electronic/paper forms, system updates and patches to enrollment processes prior to release to the production system and implement solutions;
• Assist in overseeing program budgets and expenditures; including financial analysis. Prepares and processes requisitions and invoices for payment;
• Coordinate and oversee priority appointments, generation of add codes, automated wait list access based on established policies and procedures;
• Troubleshoot and resolves complex problems with students and staff, handles issues related to making changes/corrections in the student information system. Reviews and researches for extenuating circumstances and determine appropriate course of actions;
• Assist with audits and report submission, participate in the input of enrollment data, process special petitions, and drop students for cancelled classes; establish and maintain automated records and files; assure accuracy and completeness of input and output data and related transactions;
• Serve as an informational resource to students, staff and the public concerning student enrollment functions; respond to inquiries and provide information;
• Participate in the development, coordination, and maintenance of the college catalog, schedule of classes and college website;
• Evaluate operations and activities of assigned responsibilities; recommend improvements, modifications and provide technical guidance; participate in the development and implementation of Admissions & Registration plans, goals, objectives, projects, calendars and schedules; prepare various reports on operations and activities; recommend improvements in workflow, procedures and the use of office equipment;
• Coordinate communications and information online and in print for students, faculty and staff; prepare and distribute enrollment correspondence, calendars and informational materials;
• Attend various meetings and training sessions as assigned; develop, implement and conduct staff training sessions as directed; attend and participate in various district-wide committees as required.
• Create training documentation and coordinate staff training;
• Maintain security and confidentiality of student educational records mandated by FERPA regulations;
• Perform other related duties as required.
QUALIFICATIONS
Education:
Required
• Bachelor's degree;
Experience:
Required
• Three years increasingly responsible clerical experience, including admissions and registration work in higher education;
Preferred
• Experience working with computerized registration system(s) and experience working in a lead capacity preferred.
Or any equivalent combination of education and experience.
Knowledge of:
• Student Service functions;
• Computer registration operation;
• Principles of record keeping;
• Principles of coordination, customer service and conflict resolution;
• Business letter writing and report preparation;
• Modern office practices, procedures, and equipment;
• Technical aspects of field of specialty;
• Applicable sections of State Education Code and other applicable laws.

Per Cuesta College's policies, new employees are placed at Steps A through C, which is the anticipated hiring range also listed below.
