What are the responsibilities and job description for the Coordinator, Program and Student Services position at CULTURAL EXPERIENCES ABROAD LLC?
Your Role:
The Housing Focused Program and Student Services Coordinator is responsible for supporting in the management, development, and execution of study abroad programs at the designated location. This role involves tactical work over housing, co-curricular activities and operational aspects, ensuring that all programs meet housing and program organizational standards and student needs.
What You’ll Do:
Leadership
- Engage in a collaborative and inclusive work environment, maintaining strong communication and teamwork ethic.
- Represent and champion CEA CAPA’s mission and values to students and stakeholders, embracing a positive attitude and keeping a professional demeanor and appearance.
Housing
- Engage with all housing data and systems to support in the allocation process for program housing.
- Research and understand the housing market to develop new housing vendors as per program needs and strengthen existing housing vendor relationships.
- Maintain active communication with Enrollment and Custom Program teams around housing requests and Seville housing options.
- Perform housing arrival preparation tasks, check-in on arrival days and deliver housing orientation.
- Perform housing inspections and visits during term and execute housing check-out at end of program.
- Assess, document and follow-up with all housing concerns reported.
- Assess and support with housing roommate conflict resolution.
- Support with housing policy violation and adjudication procedures.
Student Services
- Support the team to ensure that student experiences are enriching, culturally immersive, and aligned with academic goals.
- Handle and communicate student issues with managers, including program policy violations and health and safety emergencies.
- Survey and monitor student feedback to execute all programmatic activities, and excursions.
- Participate in the on-call rotation of the emergency phone service and respond to emergency calls.
- Accompany students, when necessary, to medical and other appointments.
- Participate in program activities and excursions outside office hours.
Academic Affairs Support
- Have knowledge of academic vision and goals and support the team as indicated or necessary.
Communication
- Regularly communicate with the Seville team and students.
- Document and report student concerns and issues promptly.
Administrative and Office Duties
- Cover the reception desk, including responding to phone calls, keeping inventory of office & breakroom supplies, photocopying and garbage removal.
- Collaborate with the scheduled opening and closing of the Study Center facilities and its maintenance.
Please note that to be considered for this role, candidates must have valid authorization to work in Spain.
What Makes a Great Candidate:
- Associate Degree or equivalent required; Bachelor´s degree preferred.
- Proficiency in English and Spanish language required.
- Experience with project contribution and teamwork.
- Ability to work with diverse identities.
- Experience living or working abroad, with knowledge of Seville culture, history, business practices, and academic environment.
- Creative and solutions oriented.
- Resilient and adaptable, including working some nights, weekends and holidays as required to deliver programmatic needs and respond to emergencies.
- Punctual, attentive to detail and deadline oriented.
- Authorization to work in Spain required.
