Your Role:

The Housing Coordinator plays a pivotal role on the CEA CAPA Barcelona team, providing comprehensive care and support to students from American colleges and universities as they navigate their study abroad experience. This role encompasses key areas such as student welfare, health and safety, housing coordination, and the design and management of educational excursions and events that enhance learning beyond the classroom. As part of the housing coordination duties, the Housing Coordinator is responsible for ensuring students have a comfortable and secure living environment. This involves liaising with housing providers, resolving any housing-related issues, and ensuring that accommodations meet the expectations and needs of the students. You will play a key role in managing housing logistics, communicating clearly with students about housing options, and ensuring a smooth transition to their living arrangements upon arrival. 

The Housing Coordinator also works closely with the academic and internship teams, ensuring seamless collaboration to support student success. This position is ideal for those who excel in a dynamic, international setting and are passionate about creating meaningful, well-rounded experiences that contribute to students’ growth and success abroad.

What You’ll Do:

  • Provide comprehensive support and advising to ensure students have an enriching and positive study-abroad experience. 
  • Address student inquiries and concerns, offering guidance on academic, personal, and cultural matters. 
  • Partner with the Center Director to manage disciplinary matters, crises, and any health or safety issues that may arise. 
  • Serve as part of CEA CAPA’s crisis management team, providing 24/7 emergency support to students on a rotational basis, with clear protocols and backup support available. 
  • Oversee program budgets, ensuring spending is tracked and remains within the set limits.
  • Contribute to arrival, mid-term, and end-of-term reports in conjunction with the Center Director ensuring accurate and timely documentation of program outcomes and student experiences. 
  • Support and participate in academic and internship activities, contributing to the overall success of CEA CAPA’s programs. 
  • Assign students to available housing each term, taking into account their specific housing requests.
  • Coordinate and expedite resolution of student maintenance requests, including checking apartments in person when necessary.
  • Track student maintenance requests to reconcile with end-of-term incidental billing charges from vendors.
  • Support the Center Director and Assistant Director in negotiating rental agreements with housing vendors.
  • Fulfill all legal responsibilities related to housing, ensuring compliance with local regulations (e.g., reporting requirements).
  • Maintain strong relationships with homestay families and ensure students feel comfortable in their accommodations.
  • Assist with housing vendor relations and address any student issues that arise.
  • Serve as a point of reference for local roommates and collaborate with other staff members to extend their services as needed.
  • Lead apartment checks during semesters or summer sessions, including meter readings during breaks.
  • Actively participate in orientation sessions, providing clear explanations of housing standards, rules, and expectations.
  • Engage in or chaperone local and out-of-town activities and events, such as student activities and excursions.

 

What Makes a Great Candidate:

  • Bachelor’s Degree or equivalent experience. 
  • Knowledge of the U.S. education system (preferred). 
  • Experience working with students in an educational or support role (preferred).
  • Fluency in spoken and written English and Spanish.
  • Legal authorization to work in the country of employment. 
  • Strong customer service skills, with a genuine interest in working with and supporting university students. 
  • Ability to work independently while also being an effective team player who is open to supervision and collaboration. 
  • Excellent organizational and multitasking skills, with the ability to manage pressure and handle difficult situations calmly. 
  • Proficiency in digital tools and technology, including Microsoft Office and database management. 
  • Flexibility and adaptability in work style, with a willingness to work outside of regular office hours during busy periods or in response to urgent student needs.

Soft Skills 

  • Knowledge of the city and its cultural offerings. 
  • Ability to address both daily work and unanticipated situations. 
  • Display excellent communication and organizational skills. 
  • Attention to detail and particularly to the U.S. value of customer service
