Job Summary :
We are seeking a highly motivated and experienced Project Manager to join our team. The Project Manager will play a crucial role in overseeing the planning, execution, and delivery of our diverse range of projects. This role requires a dynamic individual who can effectively manage multiple projects simultaneously, ensure timely completion within budget, and maintain the high standards of quality and creativity for which we are known.
Key Responsibilities :
- Assemble project proposals and presentations for potential clients.
- Aid development of studio brand marketing content strategies.
- Analyze engagement data to identify trends and plan digital campaigns.
- Manage client communications through emails and phone calls.
- Handle Request for Quote (RFQ) and Request for Proposal (RFP) applications.
- Review project contracts, including writing and managing Letters of Intent.
- Oversee projects from contract initiation to unveiling and closeout, coordinating with T.C.I, clients, and media.
- Develop and manage detailed project plans, timelines, and budgets.
- Coordinate with clients, artists, and internal teams to ensure project requirements are clearly understood and met.
- Monitor project progress and make adjustments as needed to keep projects on track.
- Serve as the primary point of contact for some clients, providing regular updates and managing expectations.
- Assign tasks and responsibilities to team members, ensuring that all project aspects are covered.
- Conduct regular project reviews and inspections to ensure consistency and quality.
- Manage project budgets, ensuring that projects are completed within financial constraints.
- Identify potential project risks and develop mitigation strategies to address them.
- Proactively resolve any issues that arise during project execution.
- Maintain comprehensive project documentation, including contracts, schedules, and meeting notes.
- Provide regular project status reports to senior management and clients.
- Ensure all Statements of Work (S.O.W) are accurate and meet project goals.
- Manage active projects and documentation in ASANA and company IT system.
- Secure client approvals for design stages, financing, and other project milestones.
- Assist in managing and maintaining the studio schedule.
- Maintain office conditions and manage studio artwork inventory.
- Maintain office and studio supplies and equipment.
- Record and distribute meeting minutes.
- Manage file systems and provide studio PC technical support.
- Managing IT needs, either calling in a professional or helping as needs arise
- Managing building operations responsibilities such as fire alarm inspections, landscaping, building maintenance and repairs, etc.
- Mailing and shipping promotional materials to partners and clients.
- Play a significant role in initiatives aimed at improving operational systems.
- Continuously seek ways to enhance operational efficiency and effectiveness.
