POSITION TITLE: Receptionist for Enrollment Services
DEPARTMENT: Enrollment Services/Admissions
SUPERVISOR: Director of Enrollment Services
GENERAL JOB FUNCTION
This position provides a broad range of communication duties and guest experience services for the University. The position interacts with potential students and their families, other guests of the University, and those calling the University for various reasons. The main emphasis of this position is to provide quality customer service, both in person and via telecommunications, with those interacting with the University.
STANDARD EXPECTATIONS
Responsibilities include but are not limited to:
- Answer phone and email inquiries from potential guests in a timely and respectful manner
- Receive and redirect mail, phone calls, packages, etc. for Enrollment Services
- Ensure that visitor spaces are clean and presentable at all times
- Ensure that parking is reserved for visitors when appropriate
- Ensure that presentations and welcome materials are prepared and ready for visitors upon their arrival
- Greet guests and visitors warmly and make them feel welcome and attended
- Anticipate guest needs in order to accommodate them and provide an exceptional guest experience
- Act as a liaison between guests and any department necessary
- Maintain inventory of office supplies, guest food and beverage and request new stock as needed
- Work with Campus Visit and Guest Experience Coordinator to manage workflow for presidential ambassadors (student workers)
- Other duties as assigned
DECISION MAKING AND MANAGEMENT
The ideal candidate for this position will make decisions and establish work priorities based on an essentially procedure-oriented basis with limited supervision after training. The candidate will carry out duties and responsibilities with limited supervision.
This position does not have supervisory responsibilities.
EDUCATION AND EXPERIENCE
Required: High School Diploma or equivalent
Preferred: Some College; Lingual in multiple languages including Spanish & English
QUALIFICATIONS AND SKILLS
The ideal candidate will possess the following:
- Demonstrates Superior interpersonal skills
- Demonstrates Superior Oral Communication Skills
- Demonstrates Excellent Written Communication Skills via Email and Text Messaging
- Knowledge of basic office equipment, including printers, scanners, copiers, etc.
- Competent working with Microsoft Office suite, including Word, Outlook, and Excel
- Competent working with Google suite products, including Google Mail, Calendars, and Google Slides
- Excellent Organizational and Time Management Skills
- Ability to Lift up to 50 Pounds
- 1 years of previous customer service experience preferred
- Knowledge of Cisco Phone Software a bonus
