We are seeking a Billing Agent to support our growing service department for express and account services. This candidate must be detail oriented, willing to take on regular projects on an as needed basis, and assist in all daily operations of the service department and work closely with the Office Manager. You must also enjoy being in an open collaborative team environment. Various data entry and clerical work as needed. Willing to train inexperienced candidate who possesses the desire to learn.

Responsibilities
GENERAL ESSENTIAL FUNCTIONS: The statements below are intended to describe the general nature and scope of work being performed by this position. This is not a complete listing of all responsibilities, duties and/or skills required. Additional responsibilities may also be assigned
- Create, update and submit invoices daily for client billing
- Monthly AIA & GMP Contract Billing
- Assist purchasing agent with entering and processing purchase orders
- Assist purchasing agent with request and tracking of travel, per diem, and housing for employees
- Request and track the progress of permits for projects
- Assist with the review of AP as needed.
- Input data into accounting system and assist with financial reports
- Assist with the review and application of appropriate tax implications to a job
- Review and notarize waivers for payments received
- Assist with resolving AR/AP issues
- Be able to build relationships with customers' counterparts
- Be able to resolve billing discrepancies and customer issues
- Help manage and submit prequal information as requested by customers
- Assist in managing contractor management sites/portals
WORKING CONDITIONS
- Mainly office but may also include all other work environments as required: sit, stand, talk, hear, use hands and fingers to operate a computer keyboard and telephone.
- Work is generally performed in climate-controlled office environment.
- Primary environment: ambient room temperatures, lighting, and traditional office equipment as found in a typical office environment.
- Considerable time is spent at a desk using a computer terminal.
- May on occasion be exposed to loud sounds and distracting noise levels, such as from office equipment.
- Can be exposed to hazardous materials, loud noises and extreme heat/cold temperatures, if visiting job sites or other off-site events.
- Can be exposed to Heavy Equipment, slippery surfaces, uneven footing on the jobsite
- Moderate noise (i.e. business office with computers, phone, and printers, light foot traffic).
PHYSICAL FUNCTION
- Repeat the same mental activities.
- Ability to operate a keyboard at efficient speed and typical business office equipment, including computer hardware.
- Regularly required to talk and/or hear; use hands to operate objects, tools or controls (phone, computer, printer etc.); and reach with hands and arms.
- Work performed causes fatigue of eyes, fingers and other facilities because of continuous use of motor senses.
- Vision and hearing at or correctable to normal ranges.
- May be occasionally be asked to lift, stoop, kneel, and/or move objects up to 25 pounds.
- While performing the duties of this job, the employee is regularly required to stand, sit, talk, hear and use hands.
- Regular, predictable attendance is required.
- Be able to work overtime/weekends when required
Qualifications
- High school diploma or equivalent
- Minimum 1-3 years’ in general accounting experience
- Basic Texas Sales Tax knowledge
- Strong verbal and written communication skills with ability to influence behaviors
- Ability to work independently without direct supervision
- Strong organizational and interpersonal skills
- Strong computer skills and adept at learning new software – Proficient in MS Office Suite/M365
- Results Driven & Detail oriented
- Excellent Problem Solving Skills
- Ability to prioritize and multi-task among various job duties
- Ability to interpret instructions and complete tasks as assigned
- Must possess a strong desire to provide excellent customer service to internal and external customers
