SUMMARY: Provides high-level administrative support and assistance to the Vice President of Administration to ensure efficient and productive interactions with organizational team members and the public. The assistant will handle a wide range of administrative tasks to support revenue cycle, marketing, and strategic initiative needs. This is an exempt, salaried position.
Essential Duties And Responsibilities
- Proactively manages the VP of Administration’s calendar, scheduling meetings and appointments, and ensuring timely reminders for all critical deadlines and commitments.
- Drafts, edits, and proofreads confidential documents, reports, presentations, and correspondence.
- Collects and analyzes data for projects and initiatives assigned to report gaps, trends, and improvement opportunities.
- Participates in meetings with physicians and other stakeholders, both internally and externally/off-site. Supports meetings by preparing handouts, assisting with presentation slides, taking minutes and ensuring follow-up on action items are tracked, calendared, and performed.
- Demonstrates versatility and the ability to communicate and collaborate with departments and stakeholders of all levels.
- Coordinates and follows up with stakeholders to shepherd the timely completion of action items identified in meetings to support the implementation of strategic initiatives.
- Demonstrates flexibility and adaptability to accommodate the VP’s schedule.
- Receives incoming communication or memos on behalf of the VP, reviews content and determines importance.
- Performs other duties as assigned.
- Bachelor’s degree.
- A minimum of two (2) years of experience performing administrative related duties in healthcare.
- Thorough knowledge in Microsoft Word, Excel, Outlook, and presentation and project management tools.
- Excellent written and verbal communication skills with the ability to effectively interact with individuals at all levels.
- Ability to work in a multi-disciplinary or multi-provider team.
- Performs complex and responsible administrative work using independent judgement.
- Excellent organizational skills with attention to detail and critical thinking skills.
- Prolonged periods sitting at a desk and working on a computer.
- Occasionally required to stand, walk, and move up to 15 pounds.
- Frequently required to travel by car.
