Job Title : Order Processing Specialist

Reports to : VP of Sales

Position Summary : Supports the selling of all Kahler Automation products and goods, assisting the Sales, Finance, and other functional departments with order-related activities, to ensure efficient order processing, including the preparation of quotes, contract agreements, and managing order-related documentation.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Create and process quotes and sales orders in a timely manner. Provide customers with order status confirmation and shipping information at the time of order placement.
  • Offer superior customer support by promptly addressing customer inquiries and concerns related to, but not limited to, sales order status, billing and invoicing, quote inclusions, and any process-related gaps.
  • Process software subscription requests. Create, activate, renew, and monitor software license keys and customer sites with software.
  • Process signed quotes / project proposals, confirming information and creating the estimate projects in the ERP system.
  • Compile, sort, and track contracts and purchase agreements on all contracts.
  • Assist Project Managers, Solution Consultants, and Regional Accounts Managers in collecting correct information for new orders. Information such as bill to, ship to, correct sales tax rate or an exemption certificate, and a contact name at the site.
  • Assist Regional Accounts Managers and Inside Sales to verify customer agreements for purchase of products and / or services.
  • Assist Service Department with customer order returns.
  • Assist Finance Department with support case billing and other activities.
  • Support Sales activities, assisting with financial and sales reporting functions, proactively consulting on areas of efficiency, and collaborating cross-functionally with Finance, Service, Solutions Consultants, and Project Management teams.
  • Support other co-workers when necessary : front desk duties, customer creation in the ERP system, and updating Kahler Site Index.
  • Build, develop and maintain successful relationships with customers both internally and externally.

    Education / Experience : Associate degree (A. A.) or equivalent from two-year college or technical school; or six months to one-year related experience and / or training; or equivalent combination of education and experience preferred.

    Computer Skills : To perform this job successfully, an individual should have basic computer knowledge, including proficiency with Microsoft Word and Microsoft Excel spreadsheet software, and a willingness and ability to learn and adapt to new systems.

    Reasoning Ability : Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

    Math Ability : Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.

    Language Ability : Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals effectively and clearly. Ability to speak effectively before groups of customers or employees in the organization.

    Travel : Travel is not a regular part of this position.
