QUALIFICATIONS:
- High school diploma or GED equivalent.
- Minimum of (3) years of administrative secretarial or registrar experience; experience in public education settings preferred.
- Ability to prioritize, organize, multi-task with numerous complex administrative activities, work collaboratively, and manage time with minimal supervision.
- Proficient in applied technology (Microsoft Suite & Google Suite); skilled in the use of graphics, charts, tables, spreadsheets (spreadsheets: formatting, formulas, sorting, filtering, linking worksheets, merging/splitting cells, etc). and word processing. Ability to quickly learn various assessment platforms.
- Strong attention to detail and organizational skills required including recordkeeping, filing, organization of office procedures and general office management.
- Possess excellent interpersonal and communication skills with a pleasant telephone and face-to-face personality.
- Demonstrate a high level of integrity and confidentiality regarding student records, employment records, testing materials and testing results.
- Experience with bookkeeping and maintaining budgets; eFinance preferred.
- Preference will be given to District Employees.

ESSENTIAL FUNCTIONS:
- Support the efforts of the testing department office in district-wide coordination of district, credit by exam, college readiness, state and federal assessment programs.
- Maintain the inventory of all assessment materials including ordering, duplicating, managing, inventorying, securing and returning to appropriate testing contractor. Support campus personnel in the tracking and maintenance of secure materials.
- Maintain assessment platforms regarding user account access, student demographics and student testing histories.
- Support the testing department with the distribution of student testing results to campuses.
- Manage and support the testing office and campuses regarding training locations, training dates, training records and test security oaths.
- Process purchase orders, order test materials through vendors, maintain ledger sheets (using Excel), and reconcile budget reports for multiple accounts and maintain supplies.
- Process and maintain travel, payroll and training records for testing personnel.
- Manage the communication in the testing office, including daily emails/phone calls, handle incoming calls and messages for department. Maintain accurate contact list of testing contacts at each campus, per test type.
- Manage the testing office calendars, including testing department Microsoft calendars, and campus Google assessment calendars.
- Archive testing documents and student results.
- Demonstrate regular and reliable attendance.
- Perform other duties as assigned by the Director.

Work with frequent interruptions; maintain emotional control under stress. May require after hours work.
