What are the responsibilities and job description for the Administrative Assistant to Faculty and Staff; School of Nursing - Curry College position at Curry College?
Under the direction of Dean, School of Nursing, the Senior Administrative Assistant to Faculty and Staff performs a variety of complex administrative duties with minimal supervision to ensure the delivery of the administrative office support functions for the School of Nursing.
Essential Functions:
1. Administrative Functions:
- Provides faculty course support including processing syllabi, handouts, exams (ExamSoft) and assisting with the learning management system (Canvas);
- Assists clinical coordinators and faculty to manage electronic clinical documentation processes;
- Assists with tracking student program outcomes including the Skyfactor (Benchmarks by Elentra) End of Program and Alumni survey process;
- Collaborates with the Career Center to manage graduate employment data;
- Assists the outcomes committee chair in conjunction with track coordinators, and the MSN Directors in collection and reporting of Learning Outcomes Assessment Data (LOAC);
- Provides Banner and CWIS support for faculty;
- Creates and updates all faculty folders with copy of current RN license, curriculum vitae, and immunizations if needed;
- Handles student inquiries and directs appropriately;
- Triages telephone calls and messages with other administrative support staff;
- Generates Banner Reports; performs various Banner inquiries;
- Proofreads various documents;
- Shares responsibilities of recording and filing minutes with primary responsibility for managing the minutes for School of Nursing meetings;
- Shares responsibility of maintaining and organizing School files;
- Shares responsibilities of recording minutes of standing School committee meetings including curriculum;
- Shares responsibilities of recording and filing minutes with primary responsibility for minutes in school meetings;
- Maintains School website updates with Marketing/Communications Department;
- Assists with Clinical Placement Coordinator and Administrative Assistant to the Dean as needed;
- Assists faculty by creating letters for various student needs;
- Coordinates with Sodexo or other outside vendors for School of Nursing meetings and events.
2. Office Management:
- Collects and secures required documentation for new employees;
- Tracks onboarding of new employees;
- Updates Portal Documents and/or send Canvas or Constant Contact announcements as needed;
- Works with IT / Banner team to improve data management systems and processes;
- Budget / Purchasing Responsibilities;
- Assists with processing budgetary requests;
- Manages faculty and staff reimbursements;
- Manages student reimbursements.
4. Scheduling
- Oversees room scheduling;
- Assists with scheduling meetings for administration, coordinators, and directors and clubs e.g. Sigma, Curry College Student Nurse Association (CCSNA) and Men in Nursing.
5. Customer Service:
- Answers inquiries from prospective students and parents;
- Interacts, with current and prospective students, parents, graduates and clinical agency personnel professionally;
- Provides reception/front desk functions including answering phone, interacting with students and visitors, sorting mail, and assisting with office equipment;
- Orders office equipment and supplies.
6. Delegation of Assignment Responsibilities and Oversight of Student Employees:
- Recruits, interviews, hires and schedules work study students and student workers as needed and approved;
- Coordinates, prioritizes and assigns tasks to student workers;
- Monitors hours worked and ensures accuracy of hours worked in the College's electronic time keeping system.
Additional Functions:
- Respect and maintain confidentiality, parameters of operation, professional protocols, and individual privacy;
- Perform other related duties as assigned by the Department Chair, Dean and/or Associate Dean.
Job Requirements:
Minimum Qualifications:
- An Associate's degree is required.
- A minimum of three to five years' office administration experience.
- Excellent verbal and written skills; strong organizational skills.
- Excellent interpersonal skills to effectively deal with a variety of individuals.
- Proficient computing skills and efficiency utilizing complex computing applications on the systems and programs of College's choice; currently by way of example, Microsoft Office Suite, Banner.
- Ability to follow-up, follow-through, multi-task, set priorities and adhere to deadlines.
Preferred Qualifications:
- Bachelor's degree in a related field.
- Experience in a college setting with proven technical abilities across a variety or complex software systems, relational databases, and web-based programs. Banner, Canvas and ExamSoft a plus.
Salary Range:
$19.00-$21.00 per hour
