THIS ROLE:
The Proposal Coordinator is responsible for supporting the Business Development department by tracking the full life cycle of projects, preparing and managing proposals, and ensuring the timely completion of deliverables. This role requires exceptional organizational skills, proactive initiative, and the ability to manage multiple tasks under pressure.
WHAT YOU’LL DO:
- Project Tracking: Utilize the company’s CRM tool to monitor the progress of projects from the bidding phase through completion, ensuring accurate and up-to-date records.
- Meeting Participation: Attend both customer and internal meetings to take detailed notes, track deliverables, and ensure all applicable stakeholders complete their assigned tasks.
- Proposal Management: Lead the proposal preparation process by gathering customer requirements, obtaining technical information and pricing from internal stakeholders, and compiling and drafting comprehensive proposal packages.
- Deadline Monitoring: Use the CRM tool to track deadlines for RFIs and bids, ensuring submissions are completed on time.
- Work with Contracts team to ensure contracts are in compliance.
- Monitor all contract deadlines and conditions to ensure all relevant deliverables are completed.
- Create job folders with applicable templates as new jobs are acquired.
- Work with Legal department to obtain and review insurance requirements, updates and continue to maintain all certificates of insurance.
- Develop and maintain historical digital files of contracts, records, and other documentation.
