THIS ROLE:
The Travel Program Manager is responsible for coordinating, organizing, and managing all aspects of corporate travel. They ensure that travel arrangements meet the company’s requirements while maintaining cost efficiency and compliance with company policies. The role involves planning travel logistics, negotiating with travel vendors, and supporting employees or clients with travel-related needs.
WHAT YOU’LL DO:
- Travel Planning & Coordination:
- Organize travel logistics, including flights, accommodation, ground transportation, and other related services for employees and executives.
- Ensure travel arrangements align with company policies, schedules, and budgets.
- Vendor Management & Negotiation:
- Establish relationships with travel agencies, airlines, hotels, and other service providers to negotiate competitive rates and discounts.
- Evaluate and select vendors based on quality, cost, and service standards.
- Budgeting & Cost Management:
- Manage the travel budget, ensuring expenses are within allocated limits.
- Track and report travel spending, offering cost-saving solutions where possible.
- Policy Development & Compliance:
- Develop and implement travel policies and guidelines to ensure consistency and compliance.
- Monitor adherence to travel policies and advise staff on guidelines for booking and travel conduct.
- Reporting & Documentation:
- Maintain records of travel bookings, expenses, and reports for management.
- Prepare regular reports on travel spending, trends, and savings opportunities.
- Employee Support & Assistance:
- Provide assistance to employees on travel arrangements, visa requirements, travel insurance, and emergency assistance while traveling.
- Ensure employees have access to necessary resources, including booking platforms and travel tools.
- Crisis Management:
- Handle unexpected travel disruptions, such as cancellations, delays, or emergencies, and provide resolutions quickly.
- Technology & Systems Management:
- Manage and maintain the travel management system (TMS), ensuring it operates smoothly.
- Stay updated with new travel technology and software that may improve efficiency.
WHO YOU ARE:
Certifications and Other Requirements
- Bachelor's degree in Business Administration, Hospitality, or related field (preferred).
- Proven experience in travel management, corporate travel, or event planning.
- Knowledge of travel industry trends, booking systems, and vendor relationships.
- Strong negotiation skills.
- Excellent organizational, multitasking, and time management abilities.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and travel management software.
Preferred Skills
- Experience with travel management platforms (e.g., Concur, SAP, or Egencia).
- Ability to analyze travel data and make cost-saving recommendations.
- Problem-solving and decision-making skills, particularly under pressure.
Work Environment
- Full-time position, hybrid in office or remote with occasional travel required.
- May require extended hours during peak travel times or in the event of travel emergencies.
