Job Description Summary

Responsible for providing high-level administrative and operational support to a senior-level executive(s) in an efficient and effective manner. The Sr. Executive Administrator will manage business related tasks to enhance the executive’s effectiveness in support of strategic initiatives of the function or operation. Maintains a significant level of autonomy and independent thinking in managing the work load and prioritizing projects and tasks. May have responsibility for managing and/or training junior-level administrative staff.

Job Description

  • Reviews, prioritizes, directs and delegates a wide variety of complex and confidential requests that are presented to the executive for consideration.
  • Summarizes, prioritizes, and researches information into a concise and usable format for the executive to review.
  • Responds to or routes priority or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of the executive.
  • Creates or directs creation of reports, charts, budgets and other presentation materials for the executive.
  • Schedules and organizes complex calendar activities, working around scheduling conflicts and maintaining responsibility for the executive's calendar. 
  • Manages end to end complex global and domestic travel arrangements and logistics for the executive, including expense reporting management and reconciliation.
  • Coordinates executive communications, including taking calls, responding to emails and interfacing with clients, while maintaining discretion and instilling confidence in clients and staff.
  • Coordinates data from a variety of sources for inclusion in technical reports and presentations, performs independent research and prepares information for special projects as required.  Delegates tasks to staff members when necessary while maintaining ultimate responsibility for the project’s successful completion.
  • Represents the executive by attending meetings in the executive's absence and speaking/presenting on behalf of the executive.
  • Partners with Office Operations personnel to ensure adequate availability and operation of office equipment and resources in support of the Executive’s needs, making recommendations for enhanced efficiencies and troubleshooting issues.
  • Independently manages requests, determines the appropriate course of action, intervenes when necessary, and serves as a liaison between the executive and other key members of the management team.
  • Solely responsible for developing and maintaining efficient filing systems, leveraging technology and other solutions to ensure files are accurately maintained, archived, and readily available.
  • Has a broad knowledge and understanding of the company's operations and business objectives

Supervisory Responsibilities:

  • Leads/Assigns/Delegates tasks for junior administrative and office staff.

Education/Experience/Training:

  • Bachelor’s Degree required or High School equivalency plus commensurate years of experience.

Work Experience:

  • Requires 5 years of experience in an administrative support capacity.
  • Experience working with Senior Leaders and/or office experience.
  • Senior executive level professional support experience a plus.
  • Exposure to project and process management.
  • Exposure to executive communications.
  • Experiences supervising or leading the work of others a plus.
  • Advanced proficiency in current Microsoft Office Suite applications.

Physical Demands/Environmental Work Conditions:

  • Must be able to travel up to 5% of the time.  Travel may vary in frequency and duration.
  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
  • While performing the duties of this job, the employee is regularly required to communicate with others and exchange accurate information; operate a computer and other office productivity machinery; move about the workplace; remain in a stationary position for 15% of the time; and extend hands and arms in any direction.
  • Must be willing to work outside of standard working hours in support of the Executive’s needs, including nights and weekends as required.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.


The company will not pay less than minimum wage for this role.


The compensation for the position is: $76,500.00 - $90,000.00
