Essential Duties
- Provide a high level of customer service support to the organization and the facilities team by answering incoming phone calls and dispatching facilities maintenance personnel when necessary.
- Handles business correspondence including proposals, expense statements, and purchase orders.
- Responsible for payroll processing for all employees using the Kronos system.
- Handles accounts payable for vendors not in our Vendor Maintenance system.
- Serves as a liaison for outside vendors, and the Corporate Office.
- Manage all administrative functions for the office, including invoice coding and processing, and time keeping.
- Create and maintain records. Create custom reports as required.
- Holds monthly safety training.
- Maintain safety records in the HSSUITE system.
- Create incident reports within the HSSUITE system as well as communicate any worker’s comp claims with the corporate office and Travelers.
- Chairs the monthly Safety Committee meetings as well as take minutes.
- Records weekly manager meeting minutes as well as minutes from the residency debrief.
- Part ordering as necessary.
- Excellent verbal and written communication skills.
- Must be organized and detail oriented.
- Effectively present information and respond to questions or client service requests.
- Must be computer literate and possess the ability to quickly adapt to an electronic environment.
- Strong data entry skills and email experience.
- Ability to prioritize multiple tasks in a fast paced environment.
- Highly motivated and able to work independently with minimum direction
