Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. In this role, you will provide essential support to ensure the smooth operation of our office. The ideal candidate will possess strong communication skills, excellent phone etiquette, and the ability to manage multiple tasks efficiently. Duties

  • Answers and transfers phone calls, emails, text messages, etc. screening when necessary.
  • Daily maintain filing systems as assigned for the Warehouse
  • Assist Plant Manager and warehouse managers with employees’ timecard punches
  • Print blueprints and labels for the Sheet Metal Production, Assembly, and Piping Departments
  • Assist in calendar management, scheduling appointments, and coordinating meetings for Plant Manager, Warehouse Managers, and Field Personnel as needed
  • Order parts for machinery
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Prepares agendas and schedules for meetings when needed
  • Responds to and resolves administrative inquiries and questions.
  • Assists with managing inventory of parts and equipment
  • Maintains warehouse office supplies and coordinates maintenance of warehouse office equipment
  • Performs other related duties as assigned.
  • Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date and organized.
  • Proofread documents for accuracy and clarity before distribution or filing.
  • Act as a personal assistant to Plant Manager, Warehouse Managers, and Field Manager personnel, managing tasks and projects as assigned.
  • Maintain an organized filing system for both physical and digital documents to enhance accessibility.

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently and as a team member.

Education and Experience

  • High School Diploma or GED Certification
  • Proven experience as an Administrative Assistant or in a similar role is preferred.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Proficiency in data entry with attention to detail.

  • Familiarity with calendar management tools and office software (e.g., Microsoft Office Suite).
  • Previous experience in the manufacturing industry is a plus but not required.

Job Type: Full-time

Pay: $18.00 - $19.00 per hour

Expected hours: 40 per week
