We are a small contract packaging facility looking for a Customer Service Representative who is responsible for managing customer relationships, handling inquiries, processing orders, and ensuring customer satisfaction throughout the packaging process. This role often involves a blend of customer service, order management, and coordination with internal teams and logistics providers.
Key Responsibilities and Duties:
· Order Management:
· Receive and process customer orders: through various channels (phone, email, online platforms).
· Enter order details into the company's system, ensuring accuracy and completeness.
· Track order status: and provide updates to customers regarding production, packaging, and shipping timelines.
· Coordinate with internal departments: (production, warehouse, shipping) to ensure timely and accurate order fulfillment.
· Resolve order-related issues: such as discrepancies, delays, or customer complaints, working to find solutions that satisfy the customer.
· Customer Interaction & Support:
· Serve as the primary point of contact for customer inquiries: regarding product information, packaging options, order status, and other related matters.
· Respond to customer requests and complaints promptly and professionally, addressing concerns and striving to exceed expectations.
· Provide clear and accurate information: about the company's services and products, delivery and lead times.
· Communicate effectively with customers: via phone, email, and other relevant channels, maintaining a positive and helpful demeanor.
· Build and maintain strong customer relationships: through excellent communication, problem-solving, and follow-up.
· Coordination & Logistics:
· Coordinate with logistics providers: to ensure timely and efficient delivery of packaged goods to customers.
· Manage shipping schedules and track shipments, providing customers with updates and resolving any shipping-related issues.
· Communicate with carriers and other relevant parties: to address any shipping delays or problems.
· Handle customer inquiries related to shipping and delivery, providing accurate information and resolving any issues.
· Administrative Tasks:
· Maintain accurate records of customer interactions, orders, and shipping information.
· Prepare necessary documentation: related to orders and shipments.
· Assist with data entry, record-keeping, and other administrative tasks: as needed.
· May be involved in preparing customer certs, packing slips, or other documentation required for specific orders.
