Pool builder located in Freehold, NJ
Looking for secretary who is hard-working, organized, can multitask as well as follow up on projects with customers.
Key Responsibilities:
- Email & Lead Management: Organize inboxes, respond to leads, schedule calls, and update the sales workbook.
- Permits & Inspections: Follow up on permits, zoning, and inspection results.
- Payments & Invoices: Process payments, verify invoices, and schedule deliveries.
- Job Coordination: Update job boards, schedule inspections, confirm materials, and coordinate subcontractors.
- Inventory Oversight: Monitor office and yard supplies, place orders, and update inventory lists.
- File & Data Management: Organize job photos, update records, and address flagged items.
- Customer Relations: Resolve issues, conduct sales calls, and follow scripts for presentations.
- Task Follow-Up: Close outstanding items and ensure timely completion.
- Using MS Office apps to create and edit documents, spreadsheets, and presentations. Must be proficient in Microsoft excel.
Requirements:
- Must have 3 years experience as a secretary /administrative assistant in an office setting with the above key responsibilities.
- Excellent communication and interpersonal skills
- Strong organizational and time-management skills
- Proficiency in using Microsoft Office Suite (especially excel)
- Ability to multitask, prioritize tasks, and work independently.
- High level of accuracy and attention to detail
