Key Responsibilities Administrative Support & Task Management
- Serve as the first point of contact for incoming calls, chats, and walk-in visitors.
- Maintain and manage the company calendar, scheduling internal and external appointments.
- Take detailed notes during Monday meetings and Executive Planning Sessions, ensuring key action items are logged in our project management software for tracking.
- Review guides for new software and develop internal Standard Operating Procedures (SOPs) for implementation.
- Misc. tasks as needed to support management
HR & Payroll
- Process payroll and manage employee HR-related functions, including holiday scheduling and time-off tracking.
- Maintain accurate personnel records and assist with HR-related inquiries.
Financial & Accounting Support
- Process QuickBooks transactions, including deposits, transaction matching, reconciliations, and receipt uploads.
- Prepare and pull Profit & Loss reports for weekly meetings.
- Manage and pay company bills in a timely manner.
- Log and track executive deposits and follow up on past-due accounts.
Executive & Office Coordination
- Coordinate executive appointments and schedules as requested.
- Ensure office operations run smoothly by managing supplies, walk-in traffic, and other daily office needs.
Qualifications & Skills
- Experience: 3 years in office management, administrative support, or a related role.
- Technical Skills: Proficiency in QuickBooks, Task Management Software, Microsoft Office Suite (Excel, Word, Outlook), and Google Workspace.
- Organizational Skills: Strong ability to prioritize tasks, manage deadlines, and maintain a structured workflow.
- Communication: Excellent verbal and written communication skills.
- Attention to Detail: Accuracy in financial record-keeping and data entry.
- Problem-Solving: Ability to identify inefficiencies and implement process improvements.
- Confidentiality: High level of discretion in handling sensitive company and employee information.
Work Environment
- Location: On-site position at the company office to accommodate walk-in traffic and ensure smooth daily operations.
- Schedule: Part-time Monday through Friday. 9 am to 2 pm.
