TITLE OF POSITION: Deputy Clerk (Data Entry and Imaging Department)
IMMEDIATE SUPERVISOR: Court Administrator/Department Supervisor
NORMAL WORKING HOURS: Monday- Friday 8:30 a.m. - 4:30 p.m.
ANNUAL SALARY RANGE: Based on experience: Salary Range $37,500.00-$41,000.00
MINIMUM REQUIREMENTS: At will, full-time position. Deputy Clerk in the Probate Court Imaging and Data Entry department. A position in this class involves high volume data entry into a computer terminal, document imaging and general clerical duties. The work requires independent judgment in verifying the accuracy of the information being processed and the ability to use multiple applications. Needs to work well with people. Computer skills are required. Serves at the pleasure of the Presiding Judge.
ESSENTIAL FUNCTIONS
- Provides exceptional customer service by assisting customer at the counter, online or by telephone processing copy requests and directing phone calls to the appropriate departments. Responsibilities include reviewing the documents presented, ensuring that all information is complete, and the required information is provided; in certain instances, determine and collect any costs or fees required and receipting/posting collected monies; answering any related customer questions. Process incoming mail including reviewing documents, verifying that any appropriate fee is included.
- Docket appropriate information for pleadings in an accurate and timely manner including selecting the correct docket code for the document, entering information in the appropriate fields in the computer system, issuing appropriate notices and Letters of Authority. Keep case file information in order as defined by department procedures.
- Handling service on adversarial complaints and preparing files for appeal.
- Scan documents for the case file database; perform basic quality assurance including identifying errors in database, making appropriate corrections, and informing supervisor of potential problems. Work with redaction software and troubleshoot software issues. Maintain all records of the Court. Retrieve files for the public and court employees. Purge closed files from the active shelves. Prepare closed files for imaging.
REQUIREMENTS
Associate degree (2 years of college) or equivalent preferred; High School Diploma with work experience will be considered. Should have the ability to read, write, use basic mathematics, and manage monetary transactions. Proficiency in computer skills, including Word and Microsoft Windows and other Microsoft products (Excel). Excellent oral and written communication skills; organizational skills; interpersonal skills to maintain cooperative and effective working relationships; ability to follow instructions, balance projects and meet deadlines. A candidate must possess qualities of fairness, have the highest integrity, and must maintain the confidentiality of Court information.
APPLICATION PROCEDURE
Proof of education and employment references will be required before final interview. May require submission to a criminal history background check and drug testing for employment. The selected candidate must successfully complete a probationary period.
