This is a critical role that will ensure the accuracy and compliance of payroll operations for thousands of employees across multiple national locations.
Position Overview:
The Payroll Manager will be responsible for overseeing the end-to-end payroll process, ensuring compliance with federal, state, and local regulations, and maintaining SOX (Sarbanes-Oxley) compliance. This role will also require expertise in managing large-scale Human Resources Information Systems (HRIS), such as UKG, Workday, or similar systems, to ensure payroll is processed timely and accurately for several thousand employees. The ideal candidate will have experience working in a high-volume, fast-paced environment and a strong understanding of payroll best practices and compliance requirements.
Key Responsibilities:
- Payroll Oversight:
- Manage and oversee the payroll function for a large, multi-location retail organization with thousands of employees.
- Ensure the accurate and timely processing of payroll for all employees, including hourly, salaried, and commission-based pay structures.
- Review and approve payroll reports, deductions, adjustments, and bonuses.
- Coordinate with the HR and Finance teams to ensure correct reporting of wages, taxes, and benefits.
- SOX Compliance & Reporting:
- Ensure full compliance with Sarbanes-Oxley (SOX) regulations, overseeing all payroll-related controls, documentation, and audits.
- Partner with internal and external auditors to prepare for SOX audits, addressing any identified issues and ensuring timely resolution.
- Maintain and implement payroll compliance policies and procedures to ensure adherence to company, legal, and regulatory requirements.
- HRIS Management:
- Lead the administration of HRIS systems such as UKG, Workday, or other related platforms, ensuring the systems are up to date and functioning efficiently.
- Troubleshoot system issues, implement system updates, and ensure integration with other HR and financial systems.
- Partner with HRIS and IT teams to maintain data integrity and enhance system capabilities as needed for payroll processing.
- Process Improvement & Efficiency:
- Continuously identify and implement process improvements to streamline payroll operations and enhance accuracy.
- Recommend and drive initiatives for automation and optimization of payroll systems and processes.
- Stay up-to-date with payroll trends and regulatory changes, ensuring the organization remains compliant and competitive.
- Team Leadership & Training:
- Manage and mentor a team of payroll professionals, providing guidance, training, and support.
- Foster a collaborative and productive environment within the payroll team, ensuring that best practices are consistently followed.
- Ensure the payroll team is well-equipped to handle peak periods and other payroll-related tasks efficiently.
Qualifications:
- Education:
- Bachelor’s degree in Business Administration, Accounting, Human Resources, or related field (or equivalent experience).
- Experience:
- 5 years of payroll management experience, with a focus on large-scale payroll systems and a multi-location workforce.
- Proven experience with HRIS systems, i.e. UKG or Workday.
- Experience in Sarbanes-Oxley (SOX) compliance and payroll-related audits.
- Multi-unit retail or hospitality industry experience is a plus.
- Skills & Abilities:
- Strong understanding of payroll regulations, tax laws, and compliance requirements.
- Advanced proficiency in HRIS software (UKG, Workday, etc.) and Microsoft Excel.
- Excellent analytical skills and attention to detail.
- Ability to manage multiple tasks and prioritize in a fast-paced environment.
- Strong communication and leadership skills, with the ability to interact with all levels of the organization.
- Ability to maintain confidentiality and manage sensitive information with discretion.
