The Office Clerk for a trucking company plays an essential role in maintaining administrative support to ensure smooth operations. The Office Clerk works closely with other departments to handle documentation, scheduling, customer service, and general office duties related to the trucking and transportation industry.
Key Responsibilities:
- Data Entry & Documentation:
- Maintain and update driver logs, trip reports, and shipment records.
- Ensure all documents (e.g., bills of lading, freight invoices, delivery receipts) are accurately filed and stored.
- Input data into various company software systems for tracking shipments, inventory, and payments.
- Customer Service:
- Assist customers with inquiries about shipments, delays, or deliveries.
- Communicate with drivers, customers, and other departments to ensure on-time deliveries and resolve any issues.
- Process and respond to customer orders, billing inquiries, and complaints.
- Scheduling & Dispatch:
- Help schedule routes for trucks and drivers.
- Coordinate with the dispatch team to ensure timely pick-ups and deliveries.
- Update drivers on route changes, weather conditions, or other relevant information.
- Billing & Invoicing:
- Prepare and process invoices for clients and drivers.
- Ensure that charges and payments are correct and follow up with clients regarding any discrepancies.
- Process payments, issue receipts, and track outstanding payments.
- General Administrative Tasks:
- Answer phone calls, emails, and faxes related to the trucking operation.
- Maintain office supplies and manage inventory as needed.
- Perform general office duties such as filing, photocopying, and scanning documents.
- Regulatory Compliance:
- Ensure that all records are compliant with transportation laws and regulations (e.g., DOT regulations).
- Assist in maintaining driver compliance records (licenses, training, certifications).
- Other Duties as Assigned:
- Provide support for special projects and tasks as needed by the office or management team.
- Assist in organizing meetings, presentations, or company events.
Skills & Qualifications:
- High school diploma or equivalent (Associate’s degree or relevant certification preferred).
- Prior experience in an administrative role or within the transportation/trucking industry is a plus.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication and interpersonal skills.
- Strong attention to detail and ability to work independently.
- Ability to handle multiple tasks simultaneously and prioritize efficiently.

- This is typically a full-time, office-based position.
